REPORTING TO / Human Resources Manager, Central Equatorial State, South Sudan
OVERALL PURPOSE / Working as an important member of a diverse team who are committed to serve the worlds most vulnerable with practical and compassionate care the sr. Human Resources Administrator is responsible for supporting the Human Resources Department.
As an experienced Senior HR administrator you will have the ability to provide full administrative support and assistance to the HR team to deliver HR goals and objectives as directed by the strategy. We are providing an opportunity for an ambitious individual to take ownership of their responsibilities and to continuously review and suggest improvements to current processes and procedures. With a particular focus on high level archiving regarding nationally recruited staff, on a day-to-day basis this will involve responsibility of archive, monitoring staff policies, keeping track of deadlines,administration of contracts and documents.
PROJECT OVERVIEW / Multi-sector relief programme including: provision of Primary Health Care, Nutrition, Health and Hygiene Promotion, Water and Sanitation and NFI & Emergency Shelter distributions across fixed and emergency response locations throughout South Sudan. The goal is to assist in reducing morbidity and mortality in vulnerable communities in South Sudan.

JOB DISCRIPTION & PERSON SPECIFICATION

Responsibilities:
  • Maintaining an effective, 100% accurate, hard and soft copy HR filing system for all employee records and other HR filing as required.
  • Support the general improvement of all HR data through proactive cleaning and maintenance of data, file upgrades, etc. ensuring that data is entered 100% accurate first time.
  • Supervise the Junior HR Officer where necessary in ensuring that all documents are scanned properly.
  • Ensure timely processing of recruitment requests, incl. issuing of the right JD in conjunction with the Sr. Human Resource Officer responsible for recruitment.
  • Create informative and attractive adverts in conjunction with the Sr. Human Resource Officer responsible for recruitment who will post them.
  • Play an important role in supporting any audit processes that might be called upon by Management as per donor’s requests. For instance; ECHO, OFDA, CHF etc. and keep files of the documents requested. Scan all the Labour reports and contract details requested by respective donors for specific staff in question.
  • Ensure that all contracts and all other contractual agreements are in place, accounted for, properly signed and follow up if needed.
  • To ensure 100% accuracy and the timely production of data to be passed to the Payroll Officer and HR manager according to the published monthly timescales.
  • Keep track of training records, diploma’s and the whole training documentation.
  • Train the field locations (Project Support Managers/ Finance Support Officers) in the field of archiving, administration and proper documentation.
  • At delegated level, ensure the confidentiality of information held on individual staff files
  • Cover for colleagues while on leave.
