REIMBURSEMENT FOR SUPPORT STAFF ABSENCE

Please refer to the SMF prospectus on SSTEP for full terms and conditions of the scheme.

SUBMISSION OF CLAIMS

Form SMF2 should be completed for each calendar month in which a support staff absence occurs.

Schools may only claim for an absence when supply is used.

If absentee has more than one contract, a separate claim should be made for each contract.

Hourly reimbursement will be paid at set rate. When the absentee goes onto half-pay, reimbursement rate will be paid at half rate until the absentee goes onto no pay.

Claims must be received by the 3rd day of the second month after the absence occurs, eg April claims received by 3 June. Claims received after this will incur a £50 penalty. Claims received more than 90 days after the end of the month in which the absence occurs will not be paid.

HOURS & MINUTES CLAIMED

The hours and minutes claimed should equal the number of hours and minutes which the absentee would have worked during the period of absence, less the number of hours falling within the SMF excess period (see SMF Levels of Cover below).

The SMF excess period is based on school days i.e. when the school was actually open, irrespective of whether the absentee worked on those days.

School days of absence only may be claimed, unless the absentee is contracted to work during the school holiday period.

SUPPORTING EVIDENCE

A photocopy of the sickness form ESU02 should be stapled to form SMF2. This should cover the period claimed.

A photocopy of the supply form should be attached to form SMF2. This should cover the absentee for the period claimed.

Please ensure that the option selected by your school is completed using the following headings:

Full cover - Claim from 6th school day of each period of absence

5 day excess - Claim from 6th school day of each period of absence

20 day excess - Claim from 11th school day of each period of absence

REASON FOR ABSENCE

Illness and injury are covered. Enter full reason for illness eg influenza.

Where relevant to the reason for absence, schools that are enrolled in the Care First counselling and employee assistance programme may wish to highlight the availability of those services to staff.

SETTLEMENT OF CLAIMS

Claims will be processed as quickly as possible. Payment will be a process of internal transfer journal with the amounts involved being credited to school GL code 75012 for non local cheque book schools and code 72002 for local cheque book schools.
