Please find enclosed your membership package for the 2012-2013 Synchronized Swimming Season. This package and all policies and applications are also available on-line at http://www.synchromb.ca/about_forms.html. Please note that all membership registration of athletes, parents, coaches etc… must be completed through Synchro Canada’s e-registration system by October 15, 2012. If you have not yet received your registration login and password please contact me at .

Please include payment for both Synchro Canada and Synchro Manitoba fees, all fees payable to Synchro Swim Manitoba. SSM will submit all fees and information onto Synchro Canada. Below are the applicable club fees for the season.

2012-2013 Season General Information:

Membership & Club Roster:

All registration of club members must be done on-line via Synchro Canada’s e-registration at

http://www.synchro.ca/index.php?option=com_content&task=section&id=6&Itemid=28

Include any parents that wish to be members – to vote at the AGM and to volunteer. Volunteers that are not board members/coaches etc…must register and be named on the SC e-reg system.

***All clubs must do their own registration on the site. If you are new to the system and require your login and password, please email me.***

Once your club registration is complete, you must inform the office and click the appropriate button to “finalize” your registration by October 15, 2012. Please note that you may register recreational athletes throughout the season. When doing so, you must update the e-reg system, email notify the office and submit registration payment accordingly.

Grants:

Synchro Swim Manitoba would like to aid clubs and individuals with their development initiatives. Enclosed you will find application criteria and a grant submission form for each of the SSM Grants available: Athlete, Masters, Travel, Aquasquirts and Club Initiatives. All Club Development Grants must be submitted no later than October 30, 2012. Please also see on pages 3 & 4 for information on hosting Sprites/Brownies/Girl Guides events & Athletes with a Disability Programs.

Club Summary for Competitions

All clubs must submit their club “lists” of anticipated swimmers entering the following events over the course of the 2012-2013 season: Figures, Flexibility, Solo, Duet, Team, Combo.

Please list the numbers of each in each category. This will assist in our scheduling of competitions throughout the year. Deadline for this is October 15, 2012.

All news updates will be posted on the SSM website: www.synchromb.ca. Please check the site regularly for information about synchro in Manitoba including: events, resources, results, courses etc… Please contact SSM if you have any news from your club that should be included. Some ideas that may be included: coach / athlete / team profile, interviews, events, interesting stories, etc. Pictures may also be included!

2012-2013 Sprites/Girl Guides/Brownies Clinic Hosting

Synchro Swim Manitoba has several promotion activities ongoing to grow the sport. One of the activities that have been opened up to the clubs is the Girl Guides/Brownies Clinics.

The clinics are to be held for Sprites/GG/Brownies groups ages 5-12. They are to be an in-pool session lasting from 1-2 hours. The main focus of the clinic should be a fun introduction to Synchro! Any club can apply to host one of these clinics. The club is responsible to seek out the group to host the clinic for. Once found, the club is responsible for booking pool time (or hosting during their own practice time), finding coaches and promotion of their club and the sport to the group.

SSM will cover costs associated with running such a clinic. The funds available are not guaranteed and are upon a “first come, first serve” basis. The amount of funds available is determined by our Annual Budget. A club must submit a budget for the clinic electronically for approval to the ED of SSM. A list of the names of the participants must be submitted to SSM before payment to club will be made.

Items that may be covered include:

·  pool space rental – based on approximately 6-8 swimmers per lane

·  coaching costs – based on a maximum of $15/hour and a ratio of 1 coach to 8 swimmers

·  administrative costs – please describe.

If you have any questions related to hosting the Girl Guides/Brownies clinics, please contact the office. If you have any other promotional ideas or groups to target, please contact the office as we may be able to assist financially.

2012-2013 Athletes with a Disability Program Hosting

Synchro Swim Manitoba is proud to have been able to develop and support AWAD programs ran by SSM Clubs for the past 4 years. We are excited to be able to support interested clubs in hosting these programs again in 2012-2013.

The programs are to be held for “Athletes with a Disability” as defined by Synchro Canada. The programs can be held for children and/or adults. The programs are typically either a half a year (Sept-Dec/Jan-April) program or a ten-week session. Practices should be based on Synchro Canada’s Aquasquirt program where applicable and each lasting 45 min- 1 hour. The main focus of the clinic should be a fun introduction to Synchro!

Any club can apply to host one of these programs. The club is responsible to seek out the group to host the clinic for. Once found, the club is responsible for booking pool time (or hosting during their own practice time), finding coaches trained in coaching this particular group of athletes and promotion of their club and the sport to the group.

***Please note that you must register every club member on line. If a member is part of more than one category, you must register them in all categories applicable. However, you will only have to pay ONE fee for this person – the highest fee. I.e: if a coach is also an athlete, then you indicate this on line but you will only have to pay for the highest of the two fees.

Membership Category Definitions

Competitive Club: means a club registered as such with CASSA with competitive and recreational swimmers.

Recreational Club: means a club registered as such with CASSA with only recreational swimmers.

Affiliated Recreational Program: applies to facilities offering short-term recreational programs that wish to associate provincially.

Competitive Athlete: a swimmer who is registered with a Provincial Association and/or CASSA directly and competes.

Recreational Athlete: a swimmer who is registered with a Provincial Association and CASSA and does not compete.

Master Athlete: a swimmer who is 19+, that swims in a masters program, and is registered with CASSA.

General Member – Synchro Canada/National: all persons attending or exercising a role at Synchro Canada meeting(s) of the general membership, Board of Directors, all committee members, and all interested supporters who wish to register. This would include a National Coach or official who participates in events of with athletes at the national level.

Associate Members – Synchro Canada/Provincial: would be registered as Synchro Canada Associate Members. Applicable to club executive and boards a. Would also apply to a Provincial level officials or coach who works with provincial athletes and events at the regional and or provincial level.

General Member – Regional: association with Synchro Manitoba only. Applicable for parents, volunteers, alumni, and all interested supporters.

SYNCHRO SWIM MANITOBA 2012–2013

COMPETITION BID REQUEST

All competitive club members are eligible to host sanctioned competitions. Please refer to the attached Competitions Policies and Procedures for all duties and responsibilities of host clubs and SSM.

Should 2 clubs bid for the same competition, the SSM Board of Directors will decide who shall host. For more information, please contact ED, or Cindy Ediger, Competitions Chair of SSM.

SSM Profit Sharing Arrangement

Whereas SSM is the sanctioning body for synchronized swimming competition in Manitoba;

And whereas SSM facilitates the booking of the Pan Am Pool for synchro competition within the Facility Access Agreement for Amateur Sport;

And whereas SSM handles both the rental contract and payment for facility usage for synchro competition;

And whereas SSM collects event registration and entry fees for all synchro competition;

And whereas SSM handles the purchasing of event awards and distribution of same to host clubs;

And whereas SSM provides key equipment and its use for synchro competition;

And whereas SSM provides expenses for hospitality, technical equipment/supplies and officials;

Therefore be it resolved that SSM adopt a profit sharing arrangement in conjunction with the awarding of hosting rights to member synchro clubs as follows:

The net profit per event will be collected and pooled together. At end of competition year and based on total days per hosted event, clubs will share in the pool and split the profit 70% to the club and 30% to SSM. Anticipated payments to clubs will be in May of any given year.

Definitions:

Net Profit is Revenue Less Expenses. Revenue is entry fees to said competition. Expenses would include but are not limited to pool rental fees, judging honorariums, hospitality and awards.

2012-2013 Club Registration Package

A goal of Synchro Swim Manitoba is to develop a province wide regionally strong club base to act as the delivery system for synchro programs, events, training, and communication in the province of Manitoba. This policy identifies the benefits and requirements of becoming a sanctioned Synchro Swim Manitoba Club.

Club Benefits

To encourage the formation of clubs, SSM will provide the following benefits:

·  Link from SSM’s website to your club site, or a page to list club information.

·  Fundraising opportunities at bingos held in Winnipeg Casinos.

·  Consideration for SSM grants.

·  Membership with Synchro Canada for the club and all of the individual members.

·  Insurance for club activities.
