This document contains instructions for staff who are recording work hours on the TimeClock Plus (TCP) system at Phoenix Union High School District. Hours can be viewed and approved from the time clock devicesor a computer.
This document describes How to View and Approve Hoursthrough a computer access. It also provides the steps to add Personal Leave hours to the week’s hours if required to get Total Hours to 40 hours for the week.
TimeClock Website
To access TimeClock Plus, go to website: -
Save this site in your favorites for your browser.
On the menu screen, select the Employee View and Approve Hours option.
On the next screen, sign on with your PUHSD Employee ID #. Press Enter and the Pin Entry screen will popup. Enter your Pin # and press Enter.
Note: To change your Pin #, click on Change Pin in the upper right hand corner by your name.
The main menu screen has the following options:
Viewing and Approving Hours
To view your hours for the week, click on View and then View Hours. The following screen appears. It will default to the current work week. You can move weeks by clicking on Prev and Next under Navigate period.
Check the summary of your hours on the upper right side of the screen. The hours listed under Totalare important. The Total listed here is how many hours you will be paid for that week when your timesheet is sent to Payroll. Here are some examples:Here is an example of a week’s worth of punches. The explanation of each column is:
- The Time In and Time Out columns show the times that will be submitted to Payroll.
- Hours shows the hours for the morning/before break segment and for the afternoon/after break segment.
- Shift Total shows the hours for the day and then the Week Total.
- The last column shows the Job Class for those hours. If you have more than one Job Class, then all will be included on this list if they have hours logged for that week.
- The blue brackets show that the two segments make up one day or shift. The Break Length shows how many minutes were counted as lunch.
Click Yes.
Then to approve all the segments,click onand all rows will be checked as approved.
See Adding Leave Time section below if you need to bring your total hours up to 40 hours.
Missed Punches
Here is an example of a View with Missed Punches. The blue Time Out (5/5/2016 04:30 PM) means that the missed punch has already been edited (or fixed) to this time. If the time is green, it means that it has also been approved by the supervisor. On 5/6/2016, the person did not punch in when she arrived and she also forgot to punch in after lunch. These two segments need to be edited to the correct times or the hours for those segments will be 0 when they goto Payroll. (See that Hours and Shift Total are showing as “0:00”).
Note: Any segments with a Missed Punch will be reported as zero hours to Payroll.
The above example shows why it is very important to view your hours at least a couple times during the week. If you see < Missed >time entries, then you need to complete an Edit Log with your site TimeClock Editor so those times can be corrected. Always view your hours to verify that any edits have been done correctly.
Adding Leave Time
Normally, you will report leave or absences using the AESOP Absence Reporting application. However, if you missed the cutoff time in AESOP or if you need to bring your Total Hours up to 40 in TimeClock Plus, then you can enter Personal Leave hours under Manage Time Sheet.
- Click on and a calendar view of the week will appear.
- Click on and a popup will appear.
- Click on the time or the clock symbol and change the time to the start time of your leave.
- Click on the Hours (0:00) and enter total hours and minutes of absence. You will need to use the colon punctuation to enter the minutes. Round to nearest 15 minutes. For example, entering 2:15 would be 2 hours and 15 minutes; 1:30 is an hour and a half.
- Click on (You can toggle this to unapprove if you need to do that.)
- See Hours Totals in upper right of screen to reviewLeave Hours and Total Hours.
- Click on (in upper left hand side of screen).
- Go to the View Hours screen to see your leave hours appear in the week’s hours.
Other VIEW Menu Options
There are other options under the VIEW menu.
Viewing Last Punch
You can check what you did for your last punch and the actual time that you did it. Click on View Last Punch and the following information will show on the screen:
- Your name
- “Clocked in at” Date and actual time (or it may say < Missed >)
- “Clocked out at” Date and actual time (or it may say < Missed >)
- “Job Class”Job Class # and Job Description
Viewing Messages
TimeClock Editors, Approvers, or Payroll Staff can send messages to you on the time clocks. You will get notified that you have a message when you use the time clock. You can read the message on the time clock. Or you can read the message on the computer application by clicking on View Messages and then click on the message you want to read.
Printing the Weekly Hours
If you want to print out the hours, go to View Hours for the week you want to print. Then follow the steps for your browser’s method to print the screen image.
