TITLE:ADMINISTRATIVE SECRETARY I

DUTIES AND RESPONSIBILITIES:

  • Keep up-to-date financial records and reports for state and federal programs (Read to Achieve Grant, ESS, PD, GT, Textbooks, Title programs, and Career and Technical Education, etc.) and send monthly financial reports to schools if applicable.
  • Encumber purchase orders for state and federal programs on MUNIS financial system and turn in completed purchase orders to accounts payable for payment.
  • Assist supervisor(s) of instruction with development of budgets for state and federal programs.
  • Type and make revisions as directed to curriculum documents, district comprehensive improvement plan, and certified evaluation plan.
  • Copy documents for schools pertaining to curriculum, assessment, professional development, etc., as directed.
  • Collect and enter data for TEDS (Technical Education Database System) for the Career & Technical Education program.
  • Collect and report data for the SBDM Council Training.
  • Collect and report Leadership Hours earned by district administrators.
  • Collect and record professional development hours for applicable employees.
  • Collect and report ESS data for submission through Infinite Campus.
  • Assist in collecting and mailing information for K-TIP (Kentucky Teacher Internship Program).
  • Collect and report information for Federal Participation of Private Schools for applicable federal programs.
  • Secretary for Curriculum Coordinating Council.
  • Collect and report employee attendance for the district. Collect employee leave affidavits and record accruals in MUNIS.
  • Perform monthly and end-of-year accrual updates.
  • Maintain a current substitute teacher file on all substitutes.
  • Accept applications for positions in the school system and schedule appointments upon request.
  • Maintain a current file on certified and classified applications. Copy applications and distribute upon request.
  • Clear application files at designated intervals.
  • Maintain active and inactive employee personnel files.
  • Perform other duties as assigned by Supervisor(s) of Instruction and/or Superintendent.

EDUCATION AND EXPERIENCE:

Any combination equivalent to: high school diploma, G.E.D. Certificate or demonstrated progress toward obtaining a G.E.D. as required by Kentucky law.
