Production System Changes

The following system changes, including bug fixes and enhancements, were put into Production on August 25th, 2007.

1.  / CCR-185 Reminders-Labels and Other Changes / The various changes mentioned below are implemented as part of this CCR:
Labels
1.  A summary page will be printed on generating mailing or absentee labels in bulk using the following screens.
a.  Reports à Labels
b.  Reports à Poll Worker Lists and Labels
c.  Absentee Voter à Generate Absentee Application Labels
d.  Absentee Voter à Generate Absentee Ballot Labels
The summary page is printed on the first page of the report and will include the selection criteria as well as the total # of labels that are printed.
2.  On absentee ballot labels summary page totals # of labels by absentee type will also be printed.
3.  Users have the option of printing residence address on labels even though the voter has a mailing address. A new checkbox “Print Residence Address” is displayed on the following screens:
a.  Labels (selection criteria screen)
b.  Poll Worker List and Labels (selection criteria screen)
c.  Generate Absentee Application Labels (selection criteria screen)
d.  Add/Change/Transfer Voter Registration-Final Activity screens
e.  Inquiry Scan/Print screen
f.  Poll Worker Confirmation screen
4.  The “Print Residence Address” checkbox will be unchecked by default. If the checkbox is checked, then on generating the labels only the residence address will be printed even though a valid mailing address is present. If the checkbox is unchecked then the Mailing Address will be printed if available otherwise the residence address will be printed.
5.  Users who do not have access to Voter Registration functionality will be able to print labels from the Select Voter-Inquiry Voter Registration screen. A new button labeled “Print Label” will be displayed on the Select Voter-Inquiry Voter Registration screen. On selecting a voter record and pressing the “Print Label” button the Inquiry-Print Label screen is displayed. The user can print mailing labels with or without MWD from this screen.
Non Reg Absentee Ballot Requests
Mailing Labels can be generated for Non-Reg voters on rejecting Absentee Ballot Requests by individually or in bulk.
Individual Label Generation:
1.  A new button ‘Print Label’ is added on the confirmation page of Add/Maintain Absentee Ballot Request-Non Reg Voter screen.
2.  On pressing Print Label button a mailing address is generated with the “Other” address if available otherwise the residence address will be printed.
3.  The existing button “Print” is renamed as ‘Print Letter’.
4.  The ‘Generate Ballot Label Now’ button is renamed as “Generate Label Now” and will generate a mailing label with the “Other” address if available otherwise the residence address will be printed.
Generate Labels in Bulk:
1.  Users have the ability to generate labels in bulk for Non Reg voters who have sent in a ballot request prior to an election.
2.  A new menu item “Non Registered Absentee Labels” is added under the ‘Absentee Voter’ menu link. On clicking this link the “Generate Labels-Non Registered Absentee Requests” screen will be displayed.
3.  Election Date -- Name dropdown, Application Received Start/End Date and Application Processed Start/End Date are optional fields. If no selection criteria are selected then labels are generated for all the Non Reg voters who have absentee ballot requests in the system.
4.  Mailing labels are generated with the “Other” address if available, otherwise the residence address is printed.
Reminders
1.  SVRS status and Status reason will be displayed under the SVRS Record on the Compare screens for all the DIA interfaces (DHSS, DOC, AOC, SPB, SSA-MDF)
2.  Voters who have moved out of the County reminder à Users have the ability to delete individual records from the Show Reminders à Voters who have Moved screen. A new column titled Select is added to this screen and will have checkboxes adjacent to each record. A “Delete” button is added to this screen. On checking the “Select” checkbox and pressing the delete button the selected records will be deleted.
3.  Users will also have the ability to print list the voters who have moved out of the County by Municipality. A new button called Print List by Municipality is added to the Voters who have Moved screen. On pressing this button a PDF file will be generated listing all the voter records on the Voters who have Moved screen. The sort order is Municipality à Voter Name with totals and page breaks at the end of each Municipality and a grand total at the end of the report.
4.  Users would like the ability to view and print all the batch printing items generated by all users in the County without it being broken down by the individual user. A new menu item “Countywide Batch Items” is added under the System menu link. On clicking the Countywide Batch Items menu link the Reminders-Countywide screen is displayed. This screen will display the following ticklers.
a.  There are n items in batch that are to be printed
b.  There are n Acknowledgement Notice cards to be printed
c.  There are n Change Notice cards to be printed
d.  There are n Confirmation Cards to be printed
e.  There are n Verification Cards to be printed
f.  There are n Acknowledgement cards generated due to Redistricting needs to be printed
5.  A new reminder tickler for the County Clerks “There are n deleted absentee voters” to view deleted absentee voters is added to the Reminders functionality. On pressing the Review button the Delete Absentee Voters screen will be displayed. This screen lists all voters who have a ballot request in the system and whose voter status was changed to Deleted by the SOE/BOE office. This screen will list the Voter ID, Last Name, First Name, Deleted Date, Residence Address, DOB and Deleted Reason sorted by Deleted Date à Last Name à First Name. The user can print list, delete list or delete an individual record from this screen.
Duplicate Voters
1.  A new ‘Previous’ button is added on the confirmation screen upon merging Duplicate Voters. (Flow: Activities à Duplicate Voters à Search à Select Voter-Duplicate Voter Search à Select Voter-Duplicate Voter Comparison à Merge Duplicate Voter à Confirmation screen will have a Previous button.)
2.  On pressing the ‘Previous’ button the Select Voter-Duplicate Voter Search screen will be displayed.
Deleting a Poll Worker
1.  On deleting a poll worker from the Maintain Poll Worker screen a warning message “Do you want to delete the poll worker?” will be displayed. On pressing OK the poll worker will be deleted and confirmation page will be displayed.
2.  / CCR-188 Voter Registration Inquiries History and Other Changes / The various changes mentioned below are implemented as part of this CCR:
Application Wide Changes
1.  Two new labels “Voters Displayed: 1-10” and “Total voters: “ count are added to all the select screens. For Ex: If there are 40 voters who matched the selection criteria then on the Select Voter screens, on accessing page 1 voters displayed will be 1-10, page 2 voters displayed will be 11-20 and so on and the Total Voters will be 40.
2.  A new button “View Voter Record” is added on all the Select screens (application wide) except the ‘Select Voter Inquiry Voter Registration screen’. On selecting a voter record and pressing this button the Inquiry- View Voter Registration screen will be displayed as a pop-up.
Inquiry Module Changes
1.  A new checkbox “Include voters with default DOB (01/01/1800)” is added to all the search screens in the Inquiry module. This checkbox is unchecked by default. On checking this checkbox, voters with default DOB who match the selection criteria will be listed on the Inquiries- Select Voter screens in addition to the voters with DOBs.
2.  The memo entered in the ‘Miscellaneous Information’ section on the Add/Change/Transfer Voter screen will be displayed in the Inquiry-View Voter Registration screen. A new hyperlink labeled ‘Memo’ is added to the inquiry View screen under the ‘Miscellaneous’ section. On pressing the hyperlink the voter registration miscellaneous information memo will be displayed in a pop-up screen.
3.  Provisional ballot status will be displayed on the Inquiries- Voter Election History screen. A new column titled “Bal. Status is added to the Inquiries-Voter Election History screen. If the Bal. Type value is Provisional then the Bal. Status column will be populated with the provisional ballot status.
Transfer Voter
1.  On transferring a voter, the user will be able to change the last name of the voter. The Last Name field on the Registration Application-Transfer Existing Voter screen will be editable.
2.  If the voter changes the Last Name the name history for the voter will be updated accordingly.
3.  Also the ‘Name Changed’ checkbox will be checked on the ‘Show Reminders’ à ’Voters who have Moved’ screen in the Previous County.
Maintain Voter History
1.  Users will have the capability of generating a PDF list for various histories of a voter from the Maintain Voter History module. A new button labeled “Print List” is added to the following screens:
a.  Maintain Voter Name History
b.  Maintain Election History
c.  Maintain Voter Address History
d.  Maintain Correspondence History
e.  Maintain Voter Party History
f.  Voter Registration History.
2.  The Print List button will also be displayed while accessing the histories of the voters from the Inquiry-View Voter Registration screen. On pressing the Print List button the previous history records will be displayed in PDF format.
Multiple Election History
1.  Counters are included on the Maintain Election History using Barcode Reader screen to indicate the total number of scans made as well as the total number of successfully updated voters at any give time. Users will be able to reset the counters.
2.  Two new counters, ‘No of Scans’ and ‘No of Successfully Updated Voters’ will be displayed on the Maintain Election History using Barcode Reader screen and are defaulted to 0.
3.  A new button called ‘Reset Counters’ is added to this screen.
4.  The No of Scans counter is incremented every time a successful scan is made from the poll book using the barcode reader.
5.  The ‘No of Successfully Updated Voters counter is incremented when the Insert button is pressed or after the 5th consecutive voter id scan and depends on the successful updating of the election history for the voters.
