Guidance notes for quotation form for Chain of Custody (CoC)
Useful notes
Definitions of ‘single site’, ‘multi-site’ and ‘group’
A single site certificate can be applied for where
- you have a small number of sites which are all part of one legal entity;
- you have a small number of sites which are different legal entities, but one site is acting as the COC certificate holder and is responsible for invoicing, control of trademarks and management of the activities of all the sites. All the sites operate under an identical ownership structure. All sites are located in the same country;
- you only want a control system that applies to one site specifically.
Note: All sites will normally need to be visited as part of your audit.
A multi-site certificate can be applied for where
- all participating sites and the organisation that holds the certificate are linked through common ownership; or
- all participating sites:
- have a legal and/or contractual relationship with the organisation;
- are part of a centrally administered management system such as
-purchase and sales;
-common operational procedures (e.g. same production methods, same product specifications, integrated management software);
-franchises, retailers etc who operate under the same brand name.
However, you can’t apply for a multi-site certificate if you are:
a)an organisation that doesn’t have the authority to create new companies (i.e. establish new legal entities within the organisation that may join the certificate as participating sites);
b)an organisation that doesn’t have authority to add or remove participating sites from the certificate;
c)an association or organisation that has been established to promote the goods or services of members;
d)non-profit organisations that have for-profit members.
Group certificate (for FSC standards)
A group of small, independent enterprises can be part of a Group COC certificate if they:
a) can all be defined as ‘small’, ie
i)have no more than 15 full time employees (or equivalent), or
ii)have no more than 25 full time employees (or equivalent) and a maximum total annual turnover of US$1,000,000;
b) are all in the same country as the organisation that holds the certificate.
Group certificate (for PEFC)
A group of small, independent enterprises can be part of a Group COC certificate if they:
- have no more than 50 full time employees (or equivalent);
- have a turnover of maximum 9,000,000 CHF (Swiss franc) or equivalent;
- are all in the same country as the group manager.
