Theatre Show Report Information Guide

Reason: To allow the office team to monitor and support the acting team while they are on the road.

Responsibility: Acting Staff & Stage Manager

The procedure:

·  The Show report must be completed at the end of the theatre day, unless instructed otherwise, this should always be done at the theatre.

·  Fill out the first section of information: venue, which show, date of show/s, performers’ names and the stage manager’s name.

·  Then please click YES or NO to whether a risk assessment has been filled out. A risk assessment should ALWAYS be filled out, unless you are in a residency and in which case it is filled out on the first day.

·  Then, detail everything you can about your arrival, get in and tech. We want to read what you have written and feel like we were there with you and experiencing it ourselves! We ask that you put this level of detail in so that for future visits we know everything we could possibly know about that theatre.

·  Then tell us how many performances there was that day. (Remember – if there were more than 1, you need to click 1 and then also click 2, if there were 3 performances you need to click all 3 boxes.)

·  After you have ticked the boxes, 4 boxes will appear below.

·  The Stage Manager will have the information for start time, end time and audience size so get this from them.

·  It is then your job as a team to discuss how the show went. Tell us about the audience response, issues that arose during the show, and how well you felt the show went? Go into as much detail as possible! We want to read it and feel like we have just watched the show ourselves.

·  Make sure you talk to the venue staff, not only to get to know them, but to also ask them for any feedback from the show and about our overall visit.

·  Were there any maintenance issues? Let us know so that we can either help you to fix the issue or we can help to get it fixed. Again, please be as specific as possible. For example: 1 of the wheels on the bed has shattered today. Could we please get 2 more wheels? 1 as a replacement and 1 as a spare, OR, We are running low on snow. We have enough for 5 more days – can we get some more please? With this much detail and instructions on anything the office need to do, we can help!

·  Let us know if you have any feedback on the day? If Teamweek was incorrect or the drive in the morning was extra-long as you had to travel on the M25… anything that has had an effect on your day.

·  The Stage Manager will have taken 2 photographs – 1 of the stage from the auditorium, and 1 of the auditorium from the stage.

·  Make sure you know what facilities the theatre have. If they have a coffee machine that can make a Mocha Frappe with vanilla syrup then it would be great to know! But also (and more importantly) we want to know if the theatre has a shower, washing machines, dryers, and anything else that other actors could do with knowing.

·  Then, please tell us about your accommodation the night before. Go into as much detail as possible! What the staff were like, was it clean and tidy, could you grab some food, how would you rate it and whether we should put it on our digs list or not.

·  Then, sign it off, have a look over the details and then send it off to us in the office! We will then aim to follow up on anything that needs attention within 48 hours.
