General Banquet Information and Policies

FOOD POLICIES

·  Food prices can be guaranteed within six months advance of the function.

·  All food & beverages are subject to a 20% service charge which is taxable.

·  All food & beverages are subject to a 1% sales assessment which is taxable.

·  Sales tax - currently (8.9%) will be calculated on all food & beverages, service charges and sales assessments.

·  Site fees, room rentals & AV equipment charges are not subject to tax or service charges. Sales assessment charges (1%) will apply.

·  Children 12 years and under will receive a 20% discount off listed menu prices.

·  All food & beverages served in a function space must be purchased through Winter Park Resort.

·  All buffets will be served for a one hour time frame.

The Colorado Food & Beverage license prohibits Winter Park Resort from packaging unused food for later consumption. The license also prohibits the transfer of food items from one function to another. The guests may not remove food & beverages remaining after a function from a function room.

ALCOHOLIC BEVERAGES

Winter Park as a licensed premise and is responsible for the sale and service of all alcoholic beverages and compliance with state and city laws regulations. Because of this, no outside alcohol may be brought onto the property. As a licensed premise Winter Park is required to (1) request proper (photo ID) of any person of questionable age and refuse alcoholic beverages to any person under age or who cannot produce proper identification and: (2) refuse alcoholic beverage service to any person who, in the resort’s judgment appears to be intoxicated.

ATTENDENCE GUARANTEES

A confirmed guaranteed attendance count is required no less than fourteen (14) days prior to the function date. All charges will be based upon the guaranteed attendance, or the actual, number of guests served, which ever is greater. Room location may be assigned by the Group Sales Coordinator/Catering Manager to best suit the specific needs of each group.

MINIMUM ATTENDANCE

Buffet menu prices are based on a minimum of twenty-five (25) guests. Higher minimum number of guests may be required at different times of the year.

MENU FLEXIBILITY

Our banquet menus are designed to help you in the successful planning of your catered event. Our staff will be happy to provide a custom menu tailored to your catering needs. Please advise us of any special dietary needs no less than fourteen (14) days prior to the event.

CANCELLATION

The total cost of the catered event will be charged if cancellation is made within five (5) days prior to the event. Any catered functions canceled within thirty (30) days of the scheduled event would result in forfeiture of the food and beverage deposit.

DEPOSIT REQUIREMENTS

A non-refundable deposit of $1000 is required and will be applied to the final balance due following conclusion of the event.

BREAKFAST OPTIONS

The Five Mountain Tavern Restaurant located in the Vintage Hotel and Moffat Market located at the base of Winter Park Resort and The Mary Jane Café all offer breakfast daily during the winter season and are open to the public. Reservations are not required but are suggested for larger parties at The Five Mountain Tavern.

LUNCH OPTIONS

Moffat Market, Derailer, Doc’s Roadhouse, Club Car, Mary Jane Café, Snoasis, the Lodge at Sunspot and Lunch Rock all offer lunch daily during the winter ski season. All locations are open to the public.

Meal vouchers are a great alternative for price sensitive groups. Vouchers are available at a discounted price by pre-purchasing. Meal vouchers may be used at any Winter Park restaurant any day of the week. Meal vouchers are valid for one time use only and no change is given. Meal vouchers are non-refundable.

Private Catered Events

BANQUET ROOM & RESTAURANT SITE FEES

All details regarding menu selection, setup, etc., should be finalized a minimum of 60 DAYS in advance of arrival. Any changes made less than 48 hours prior to function will result in additional labor and/or meeting charges. Once your restaurant has been set to the specifications provided to our banquet department there is a $150.00 charge to make any changes. Your function space will be set up 30 minutes prior to the event start time.

MUSIC

The Group Service/Catering department must approve in advance any music or acts in any of our restaurants or banquet space.

DECORATIONS

We will not permit the affixing of anything to the walls, floor, light fixtures or ceiling without prior approval from the Catering Department. Absolutely no nails, tacks or staples will be allowed. Glitter and confetti is prohibited.

Audiovisual equipment can be provided only in function space that is reserved exclusively for a private event.
