Position Objectives
The Trainee Administration and Finance Officer supports the Administration Officer in the delivery of high quality administrative services to support the general office functions and locally based finance functions located in our Preston office.
Responsibilities and Duties
Including but not limited to; assistance with record keeping, files management, spreadsheet reconciliation, data entry, clerical and general office administration tasks.
General Administration support:
Support the Administration Officer to manage and maintain:
· Data entry and reconciliation of various spreadsheets and statements
· Liaising with vendors to order furniture stock
· Maintenance of whitegoods asset database and test & tag records
· Liaising with the EA to Executive Director South on all OH&S matters including the periodic assistance with the Material Safety Data Sheets and Safe Work Method Statements and ensuring they are filed appropriately.
· To provide administrative assistance as required to the General Managers all situated at the Preston Office
· To undertake stock inventory and ordering of stationary and office goods.
· To assist the Administration Officer in management of the office space as required.
Finance Support:
Support the Administration Officer to manage and maintain:
· Rent receipting, reporting and refunds
· Monthly / quarterly rent reports
· Bank Receipts, payments and reconciliation
· Maintaining brokerage database & reconciliation
· Generating maintenance purchase orders and invoices and issuing invoices for payment
· Other
o Primary answering point for incoming calls via the phone tree, and guests presenting at the level 2 foyer.
o Assist the Office of the ED South in other administrative duties as required.
o To participate in training, supervision and appraisal activities.
o Assistance in the development of and contribution of ideas for the Metro Office Sop and Administration manual
o Filing of tenant files, account payable records including scanning of documents for electronic storage and archiving.
· All other duties, functions and responsibilities as directed.
· This position reports to the Administration Officer

Qualifications & Experience
· Year 12 VCE or equivalent
Inherent Requirements of the Position
· Successful appointment of this position will be subject to:
o Taking part in recruitment testing as part of the selection process

· All Haven; Home, Safe staff must hold a current Victorian Drivers Licence at all times.
