Opening

The PVA Quarterly Meeting was called to order at 7:20 PM by 1stVice President Melvin Fields. A silent prayer was said by all.

Elections

Past 1st Vice President Phillip Barrett, Sr. conducted the election of the President, stating that the nominations must have been received by Membership Chair Herbert Nicholls by August 14, 2008. The nomination of George Harris was received by that date and since George was a member in good standing, the majority voted in favor by acclamation. George Harris is the newly elected President and the meeting was turned over to him.

George thanked everyone for their support. He reminded everyone that bi-laws changes must be in the office by November 15, 2008. George explained that the purpose of this meeting was for election of the President, but if anyone had any announcements they could be made at this time.

Announcements

Past President Frances Brown announced that she had the Association Report, which was given to Secretary Faye Howell.

Some people had not received the mailing concerning this special meeting, so the mailing list needs to be updated with corrected information.

Master LDR Chair Bob Platt stated that there needs to be a provision in the bi-laws to remove Committee Chairmen.

Eugene Neal announced that Montgomery County Recs had been awarded the Sr. Olympics Meet which will be held on Saturday, September 20, 2008 at the Prince George’s CountySports and Learning Complex at 8:00 am. Meet managers are Eugene Neal and Jerry Booken-Weiner. George said that officially the Association will assist as much as possible. This is a qualifying meet for next year’s Nationals.

George would like to lock in a time when Officers and Committee Chairs can meet on a Saturday before September 15, 2008 to exchange information and turn over important documents.

Bill Price stated that the sanctions on the website are unrealistic and on the average, our sanctions are way above the other Associations’ fees. He felt that the fees had never been approved. Frances Brown stated that there had been an Executive Board meeting held to increase the fees for sanction. George said that the fees are a financial concern and that there will be an Officials meeting to discuss the sanctions issue.

George asked Faye to draft a letter for George’s signature to inform everyone of the change of the Officials Chair.

Craig Chasse announced that the PVA Track Club is hosting a meet and would like to keep the sanctions the same as they were. They will host another meet in 2009. Nike will not be helping with the sponsorship.

Webmaster Jay Wind announced that he has the dates for the winter meet and Prince George’s meets. November 20, 2008 is the next Quarterly Meeting. One commitment from the May meeting was that he receives copies of the minutes. He still needs to get a copy of the May minutes.

It was decided that the date of the meeting of Past/Present Officers and Past/Present Committee Chairs will be held on September 13, 2008 from 12:00noon until 6:00 pm. Please contact Faye if you cannot make the meeting.

Treasurer Barbara Smith gave the Treasurer’s Report (a copy will be included with these minutes). Eugene Neal moved and Henry McCallum seconded to receive the Treasurer’s Report.

Frances Brown motioned and Vice President Elenora Battle seconded that the meeting be adjourned. The meeting was adjourned at 8:00 pm.
