Team Leader to agree with local Prince’s Trust contact who is to attend this meeting

This preparatory meeting must take place in advance of the individualjoining Team

Set up meeting with participant.
Please offer for Line Manager to join meeting (if convenient) / All participants should have completed an application formand received an Information Pack email which will include information about the programme.
Check that your Prince’s Trust contact has sent you a completed application form in advance of your meeting.
The participant can bring a copy with them as well.
Set up meeting with employed participant.
Please offer for Line Manager to join your meeting if convenient / All employed participants should have completed a 3 part Pre-Programme Questionnaire and received an employee information pack which will include information about the programme.
Check that your Prince’s Trust contact will send you a completed Pre-Programme Questionnaire in advance of your meeting or the employed participant will bring the Pre-Programme Questionnaire with them to your meeting.
At the meeting
Outline the Team programme / The relationship of Delivery Partners with the Prince’s Trust
The make–up of the Team including our target groups of young people who are unemployed, left/leaving care, ex/current offenders and educational underachievers.
What makes Team different to other training courses – be honest!
Roles of the Team Leader /Assistant Team Leader and Employed Participant
Describe the 12 weeks / General structure of course including:
Breaks and lunchtimes
What participants might experience on day one
Team contract / code of conduct
Pre-Course Involvement (Secondees only) / Agree the secondees start date and discuss their role before the course starts in terms of recruitment and preparation work
Team details / Confirm start date, time and location of Team
Discuss dress code
Residential week / Confirm residential dates, location and potential activities
Discuss any clothing or equipment that may be required

Discuss placement role / Discuss participant’s role i.e. being a role model / mentoring / bringing skills into the team
Discuss development expectations (refer to application form)
Discuss any specialist skills that the participant brings
Discuss the 3 selected competencies they wish to develop (refer to application form)
Give examples of the type of activities to develop skills (refer to Possible Development Opportunities)
IntroduceIndividual Learning Plan ( ILP) to formalise skills development identified and plan when 3 formal written reviews will take place
Plan 20 day participation
(EP only) / Agree a 20 day plan confirming definite days to attend plus those with some flexibility whereby Employed Participant can best develop their chosen competencies from application form
Personal matters / Discuss any dietary or disability issues
How to report absence or lateness
Discuss how participant’s handle and report back any issues to Team Leader
Health and Safety / Confirm how Health & Safety is managed on Team including:
emergency procedures at or away from Team base;
fire evacuation plans;
first aiders;
next of kin;and
confirm emergency contact details including The Trust’s regional and 24 hr emergency crisis number 020 7543 1237.
End of Placement Certificate and Report / Inform that a certificate signed by our President, HRH The Prince of Wales, is handed out at end of Team presentation and a report on their placement on Team will be sent out by you via The Trust following the end of the programme.
You may choose to mention these benefits if the Line Manager is present / Real world training e.g. real life situations
Benefits for participants: Competency development as discussed from application form, general confidence and growth of team working and team leading skills
Benefits for the employer: Participant becomes more flexible and develops skills that are transferable back to workplace
Benefits for the Community: Impacting on lives of unemployed 16-25 year olds, completing a community project and end of Team challenge

Line Manager (if present)
and Employer Support / Does the Line Manager have any experience of staff participating on Team?
Discuss the importance of Line Manager support before, during and after the programme.
Invite the Line Manager to attend the community project handover and end of Team presentation
Talk about the investment by the employer – in terms of time away from the workplace (and possibly money for EPs)- and how important it is that that investment is used to develop transferable skills during the course
Emphasise the importance of ongoing development on participant’s return to work e.g. they could undertake a special project, could make presentations to colleagues about experiences etc
Is the employer willing or able to support this Team in any way e.g. fundraising, work placements, interview skills, presentation venue, vetting for job vacancies etc
Check contact numbers / Ensure all participant’s contact details are correct and check that they have all Delivery Partner contact numbers i.e. Team Leader’s, Assistant Team Leader’s numbers and Delivery Partner details
