1. MATTERS ARISING FROM COMMITTEEMEETING OF 2 FEBRUARY 2017 / Matters arising from meeting on 2 February 2017were as follows:
  • Second handrail now installed.
  • Lease Agreement for Scouts and Marley Building – referred back to MPC via GR to advise of costs and arrange for Lease to be drawn up
  • Better for planning app for Marley to be submitted by Parish Council rather than Scouts as reduced fees apply – Scouts advised.
  • First load of fertilizer in hand
  • Parallel bar replaced
  • WiFi now up and running with PlusNet so we are now internet enabled which is excellent addition for current and future users.
  • Planning application and drawings for the extension to the pavilion
  • Plaque for scamble net outstanding
/ MPC to advise on preparation of Lease
Chase Nest Designs for app and drawings

2. TREASURER’S REPORT / Income from 1 April to date has more than covered expenditure and leaves us with a healthy contingency fund. See attached reports for last financial year as well as period 1 April to 16 May.
Agreed to enter into 2yr contract with Gas provider as this gives them a remote link and they top up when tank reaches 30% full. Saves us having to worry about whether we are running low.
3. MARLEY BUILDING REFURB / Plan is to purchase 2 containers as per design. Dainton already provided quotes and scouts now waiting for quotes from local builders so they know the cost implications before proceeding. Will then know what extra fund raising is required.
In the meantime they have been able to make use of the building and still plan to move forward with the project even if at a slightly slower pace than first hoped.
4. PAVILION PROPOSED IMPROVEMENTS / Plans and drawings still outstanding – will chase Nest Designs as conscious first tranche of money from Bloors is likely to become available in the not too distant future.
5. PITCH/ FIELD MAINTENANCE / Fertilising and grass seed now complete
Purchase of new mower and other equipment ongoing / Investigate Sport England Community Asset Scheme / PR
6. TRIM TRAIL / Drainage problem in the copse around the scamble net area. Need to bring in a mini digger for cable and drainage as part of the Devon Air Ambulance project so could use the digger at the same time to address this issue and improve the drainage. / Drainage improvements required – obtain quotes and facilitate / PR/PW/BN
7. PAVILION MAINTENANCE / Still need to purchase the following items:
  • Urn for the kitchen or replace tap as it is low to sink
  • Blanket as part of first aid kit
  • Blind for kitchen window
Would also like to purchase another 10 chairs and 2 tables as we run out from time to time at certain events
Crack in female changing room needs repairing.
Down-lighters in main hall still to be installed. Quote from Phil Mingo accepted. / Arrange to purchase items listed
Obtain quote for the additional chairs – refer to MPC as they have record of original supplier
Chase Phil Mingo to install additional lighting as quoted / PR/PW

8. REGULAR USERS UPDATE / Football Foundation requested update – U18s now disbanded, U16s will play as U17s next year but concern over future of team/ U10s playing matches at South Brent (teamed up as not enough players at Modbury to form a team).
FF want to follow up with club on developing coaches and also promoting walking football which seems to be becoming a popular activity and would suit our community.
Tennis Club continuing to work with Mark Pickard to address the trees and moss problem.
Netball – back playing netball outside now the lighter evenings and better weather are here. All good.
Scouts – making good use of outdoor facilities wherever possible and keen to move the Marley project forward.
9. FUND RAISING/ MARKETING/ MARS 50:50 / No fund raising activity going on at this time.
Despite advertising for new members to 50:50 among current user groups nothing forthcoming however we have received a very generous donation of £500 from an anonymous benefactor. PR will send a note of thanks on our behalf.
NJM suggested we compile a list of email addresses for MARS 50:50 members so that they can be contacted in January/ February with renewal details and the option of electronic payment / Continue to look for extra funding to finance purchase of equipment/ also the zip wire and traverse wall
Develop an email contact list for current MARS members ahead of next year’s renewal / PR/NJM

10. OSSR / Draft plan written and submitted to NPG for feedback. So far had response from Memorial Hall but no other groups. / Send KH copy of OSSR for ref / PR/NJM
11.HEALTH & SAFETY / Nothing to report. Second hand rail now installed
12. DEVON AIR AMBULANCE / DAAT want to designate Rec Field as a night landing zone. Small pitch and general access considered ideal but lighting scheme needs improvement.
Need to obtain quotes to upgrade lighting cable from Marley to field, replace 2x halogen lights with LEDS and install additional lighting. DAAT will pay for the remote switching but Modbury needs to find the rest of the money to move the project forward.
As this is for the benefit of the whole community it was agreed we would approach MPC for a contribution. / Request contribution towards costs from MPC / NJM
13. NEXT MEETING / AGM and general meeting Thursday 29 June 17 @ 8pm. QEII Pavilion / ALL
