Talking Points for Mentors/Mentees

The following framework will give mentors/mentees talking points to follow throughout the year.

The list is not comprehensive, but, instead, a beginning for conversation.

REVIEW PROCEDURES FOR TEACHER EVALUATION SYSTEM (please refer to Teacher Professional Growth System Manual) / 1. School safety and basic issues
2. Allocations of certified and classified personnel
3. Continual hiring/overages over the summer
4. Write and send a summer newsletter to parents/students-Counselors and AP may assist with this is High-School (Introduce yourself, address dress code, PBIS Matrix, etc.)
5. Write and send a letter to staff (Introduce yourself, include teaching schedule (HS), upcoming themes, goals, Agenda for upcoming professional development days, etc.)
6. High-School: Review MAP data for incoming 8th graders and CBE results to ensure students are scheduled correctly-have counselors review schedules
7. Approve variances and 13th year applications
8. Track 12th graders who did not graduate to ensure they show up for summer HSPE testing and summer school (Attend summer school graduation)
9. Adjust graduation report data when released (keep Ben Hayes apprised)
10. Evaluation process(completion of goal setting in My PGS prior to meeting with evaluator)
11. Opening of school instructions
12. First meeting state Vision, Mission, SEL, Instruction, Relationships, your expectations of yourself, staff, parents, and students.

September / 1.Conduct Goal Setting meetings-
2. 12th - Self – Assessments completed in my PGS with rating and reflections

4. 26th – Goal setting meetings completed for Formal and PGP employees
5. 26th – Late hire deadline for completion of the November 1stevaluation (New hires after the 26th of September will have their first written evaluation on February 1stmoving their first year of probationary status out to the following year.
6.All teachers who have been placed on a FAP, or continuing on a FAP, must receive approval from the Area Superintendent and be reported to the Labor Relations Manager/PAR Coordinator.
7. Review procedure for teachers placed into PAR.
8. Parent Night/Meet the Teacher Night, if they have it; review plans and scheduling - whole group in MPR or teachers in their rooms or discuss any Welcome Back events such as BBQ, Spaghetti Feed, Ice Cream Social, Curriculum Nights, introduce parent club and Education Collaborative partners etc.

2. Evaluations:Ensure all Probationary and Off-cycle observations/feedback conferences/written evaluations are completed: 40th day of instruction Oct. 13th. Post Observation Conference completed (must take place within 5 days of the formal observation)
3. Probationary and Off-cycle evaluations completed by November 1st.
4. Begin planning “stretch runs” for CRT testing (elementary & middle school) Determine when these will be put in place ~ testing for CRTs in May 2014 (See assessment calendar.)
5. Practice writing prompts and scoring using rubrics is also recommended for grades 5/8
6. Review current/past MAP Data
December / 1. Observations/post conferences as needed: 80th day of instruction Dec. 15thfor all Probationary, Off –Cycle, Post – Probationary Formal ( previously effective), and Post –Probationary PGP (previously effective) Pre Observation conference completed, Formal Observation completed and Post Observation conference completed (must take place within 5 days of formal observation)
January / Discuss Parent/Teacher conferences

7. Meet with teams or grade levels to reinforce, Vision, Mission, SEL, academics, instruction, and upcoming tests.
February / 1.Evaluations: if not already begun, mentees should begin post/final conferences to be able to complete evaluations as needed
2. Evaluations completed on all Probationary employees. Qualitative Rating on remaining 2 standards, Evaluation Narrative on the 2 standards
3. Evaluation completed on all Off-Cycle employees. Qualitative Rating on a minimum of 2 standards based on area of need. Evaluation Narrative on the 2 standards
4. Form budget committee for any meetings, revision of way money was spent in the past and formalize plans to share with all staff members and parents, per Board policy
5. In elementary, discuss any possible retentions to be completed beforeFeb. 15th

7. If teachers can set goals before they leave for summer you can start the year off with a Pre- Observation conferences in August!
Monthly:
1. Record meetings/communication by phone/emails- use attached sheet
2. Meet at least 2 times a month with your New Principal
3. NOTE: The first month to six weeks of school, meet WEEKLY to establish responsibilities/ expectations/RAPPORT
Other:
Attend one staff meeting at their schools
Have the Principal visit your school or another one to gain specific information
Accompany the Principal on a walk-through at least 4x throughout the year (one time per quarter). Have them share the “look-for” tools being used and any strengths or areas for improvement.
Have the person attend a staff meeting at your school where you share your style, and, perhaps, some interactive strategies
Check in with the Principal at least one time per week, don’t wait for him/her to initiate as things may have gotten past a point where you can offer suggestions and make a difference.
Attend at least one night function/community builder or discuss it both pre and post with the administrator if you have a conflicting schedule.
Attend at least one professional development session or discuss it pre/post for processing the success of the session.
