About OXPIP

OXPIP – the OXFORD PARENT INFANT PROJECT - tackles some of society's most challenging issues by helping parents and their babies to form strong and loving attachments. OXPIP is at the forefront of current thinking on how early intervention is the key to tackling very real threats to our society. We work with other organisations at this cutting edge, making the case for early intervention rather than picking up the pieces later on at a significantly higher cost, both financially and emotionally, to all those involved. Relationships are at the heart of our lives – but they are not always simple or happy. Research tells us that early experiences and damaged relationships can have lifelong consequences. The current call for government and stakeholders to address the need for an early intervention strategy and action places OXPIP in a key position to contribute to the debate and the outcomes.

OXPIP offers intensive therapeutic help to parents and their babies in Oxfordshire in the first two years. We support families by working with parent and infant together, to build on the positive, to boost parental confidence, and help parents read their baby’s needs. We know that OXPIP's unique approach can, and does help. We currently work with over 300 families a year in Oxfordshire, from a wide range of social, economic and ethnic backgrounds, but our task is now to facilitate our work being available to those who need it nationwide.

Our new Office Manager will sit at the heart of the organisation and provide the backup and support necessary to ensure that our therapists can carry out their work safely and professionally. It is an interesting and varied role that while, at times, demanding will also be very rewarding for the right candidate.

Job Overview

Purpose: to manage the day to day running of the office, invoicing and payments as well as supporting the Directors, Trustees, Therapists and other staff in their work

The Office Manager will take overall responsibility for:

  • The day to day running of the office including enquiries, referrals, room bookings, equipment management, telephone calls, email and other communications
  • Manage day to day invoicing and payment processes ensuring they are processed in good time and recorded in the appropriate systems (SAGE)
  • Ensure payroll payments are made along with accompanying payments to Inland Revenue
  • Maintain and protect the confidentiality of the clinical database, files and other client and management information systems
  • Support the organisation and management of trustee, team and other meetings producing minutes as required
  • Support organisation of events for fundraising, supporters, the team and others
  • Manage online DBS (formerly CRB) clearance and other paperwork necessary for the running of the organisation
  • Maintaining confidentiality and working with discretion and tact
  • Other duties in line with the job purpose

Person Specification

The right candidate will:

  • Be calm, methodical and a professional and reassuring presence
  • Have strong numeracy skills: accuracy and attention to detail are essential
  • Be computer literate and able to support others who are less confident
  • Have good communication skills and a professional telephone manner
  • Be adaptable and flexible in dealing with a wide variety of people and tasks
  • Have experience of general office administration and management
  • Be able to work independently and as part of a team
  • Possess an understanding of the pressures facing parents
  • Be prepared for change and growth

Location:Oxford or nearby area (our current base is Kidlington, just north of Oxford)

Full-Time Salary:£20-25,000 more may be possible for someone with anaccountancy qualification

Hours:37.5 hours per week or very close to.
