The Institute for Conflict Research is seeking to appoint a part-time Finance and Administration Officer for 20 hours per week.

The post-holder will be responsible for organising and providing a comprehensive, confidential administrative, clerical, financial and secretarial service to the CEO and staff team.

The successful candidate must have a good level of education, with GCSE English and Maths being essential as well as an ECDL (or equivalent).

They should have strong financial experience of supporting staff teams in a busy office environment, excellent interpersonal skills and the ability to multi-task, prioritize, use their own initiative and work unsupervised as well as within a team.

They must have excellent communication skills and computer skills in the use of Microsoft office in areas of file management, word processing, spreadsheets, database, computerised accounting systems (SAGE), cost projections, electronic mail and payroll systems.

Experience of working simultaneously on multiple projects including SEUPB administered Peace programmes is a desirable criteria as is a commitment to and experience of conflict transformation and/or the arts.

A flexible approach to work and an ability to work to tight deadlines are also required.

A satisfactory Access NI check is required for this post.

Responsibilities:

To support the administration and financial aspects of the Institute for Conflict Research.

Main duties and responsibilities

Finances

  • Control accounts;
  • Process and enter invoices, orders, travel claims, receipts, journals and other financial records onto the SAGE 50 Accounting system in a timely and effective manner;
  • Prepare and process payments to suppliers and staff in a timely manner;
  • Reconcile supplier statements on a regular basis and deal effectively with queries;
  • Complete bank and credit card reconciliations;

Payroll

  • Process payroll and maintain PAYE records and payments to meet internal and statutory obligations;
  • Deal with pension providers regarding pension contributions;
  • Process and submit all RTIs.

Reporting

  • Deal with routine finance and administrative queries;
  • Organise and provide a comprehensive, confidential administrative, clerical, financial and secretarial service to the CEO and staff team as required;
  • Undertake procurement activities and record keeping;
  • Preparation of financial claims to funder and funding applications;
  • Produce financial reports including budget reports and other records, using appropriate systems;
  • Support staff team in tasks associated with monthly, quarterly and annual accounts.

Other Administration Duties

  • Maintain an orderly accounting filing system and administrative records relating to organisational and project matters;
  • Create, develop and maintain accounting spreadsheets used in the finance function;
  • Assist in reviewing/developing administrative and financial procedures as required;
  • Participate in staff meetings and development sessions as required.
