International Grants Administrator

WHO WE ARE

New Field Foundation ( contributes to the creation of a peaceful and equitable world by supporting women and their families to overcome poverty, violence, and injustice in their communities.Founded in 2003, New Field Foundation is currently focusing on Sub-Saharan Africa and operates in support of Tides Foundation's international grant making.

THE OPPORTUNITY

As a young organization, we are still growing and plan to boost our grantmaking in 2008. Currently, we are a four-person team, including a program consultant in Senegal with additional part-time Africa-based consultants. We are creating our first full-time Grants Administrator position to strengthen our grantmaking operations. We need a talented Grants Administrator who brings solid experience with the grantmaking cycle and the ability to implement and maintain a holistic andtimelygrantmaking workflow.

THE POSITION

The Grants Administrator will be responsible for the following:

  • Grantmaking workflow.Upgrade,maintain and manage our grants administration processes to ensure a smooth workflow from initial inquiry through grant closure.
  • Pre-grant intake. Receive, respond to, and screen inquiries and proposals and coordinate their review with program team.
  • Program team support. Provide program team members with materials, forms and reports to enable their timely and efficient assessment, grant recommendation and report review. Support program team members to track all pending and approved grants.
  • Compliance. Assist Tides Foundation to ensure compliance with IRS regulations for international grantmaking, including signed grant agreements and reporting requirements. Also ensure compliance with Tides Foundation and New Field Foundation requirements.
  • Grant information management. Maintain and manage grants management database. Design and produce reports, forms, and letters through database. Maintain all electronic and hardcopy grant files.
  • Team participation.Participate in organizational and team activities as needed, such as planning, website and board meeting preparation.

QUALIFICATIONS

We are seeking a candidate with the following experience, skills and qualities:

  • Strong commitment to foundation’s mission and work.
  • Two years experience in foundation grants administration with familiarity of best practices in grantmaking workflow processes and procedures.
  • Knowledge of current IRS regulations and requirements related to foundation grantmaking, preferably of international grantmaking and expenditure responsibility rules.
  • Excellent communication skills in English and functional French.
  • Strong computer skills, including internet, Outlook, Word, Excel and grants management software. Experience with MicroEdge GIFTS a plus.
  • International travel or work experience, with an understanding of the challenging conditions within which our grantees and program consultants work.
  • Detail oriented, self-motivated and comfortable working in a small and collaborative team environment.
