ADMINISTRATION VOLUNTEER

The Elfrida Society is a registered charity working with people with learning difficulties. Our projects include Advocacy - a health and general advocacy scheme, Parents Project – supporting parents with learning difficulties, Siren - a creative arts project, Sports offering various sporting activities and Homelink, a project that provides support for people living in their own homes in the community.

An exciting opportunity has risen for a person with administrative experience to join a busy and friendly local charity working with adults with learning difficulties.

You will play a key part ensuring that the reception office runs smoothly during a crucial phase of development. This involves being the first point of contact for visitors and service users, dealing with incoming calls, taking messages, managing our central e-mail and assisting with mail outs.

You will need to be a reliable, trustworthy, patient and understanding person with a pleasant telephone manner, be able to use your own initiative, be computer literate and sometimes work unsupervised.

Purpose:To be part of a small team in a busy, but friendly office assisting the Office Manager and Administrative Assistant in providing a service to staff members and the organisation as a whole.

Tasks include:

  • Reception duties – needing a pleasant telephone manner and ability to communicate directly with professionals, visitors, staff and service users in a welcoming manner
  • Providing administrative support to projects as and when needed
  • Diary management
  • Using a basic switchboard to receive calls and transfer calls, clear and distribute voicemail messages
  • Using Microsoft Outlook to manage e-mail
  • Using Microsoft Excel to manage spreadsheets
  • Use office equipment, such as a photocopier and franking machine
  • generally assisting the Admin Team and other projects as requested.

Supervision:

Your Manager (Berni Simons) will meet with you on a monthly basis. This will offer the opportunity for discussion around the work, your role and any other issues that may arise.
