Committee Meeting

1. Present

3. Minutes of Meeting 22nd October 2013 and Record of Meeting held 17th December 2013
Amendment made to item 9 on the minutes “The land argent made the suggestion that the storage structures should be a maximum of 1.2m”. The minutes were then signed.
The record of the meeting held 17th December are to be sent out to Julie and Carolyn.
Matters arising:
We are now members of NASLG in our own right.
We have no vacant plots and Tony has advised in the Stonnall Parish Magazine. Keith will advertise in the next edition of the Shenstone Church Magazine.
We still have issues with the water bill, as there are no units on the meter. Debra to speak to Victoria Gray about the proportion we should pay, total of the bill is £388.00. Alan will look into the installation of a replacement meter with units we can read and understand.
4. Finance
Copy of Accounts attached.
Plot holders are already renewing rents
Locks are paid for
SPC are to transfer balance and provide accounts by 4th February. Debra has already contacted SPC reference this.
Insurance has been paid
Debra has provided budget forecast but this to be amended to include depreciation of fences and shed etc once we have information from SPC
5. 2014 Rents and AGM
Currently no free plots
Liz to Send rent reminder, agenda, minutes and nomination forms to all plotholders via email and to post those who do not have access
Liz to check re crockery at the hut
Jill to purchase refreshments
Alan will not be continuing on the committee
Debra, Tony and Antony are to continue
Liz, Jill and Keith to confirm at the next committee meeting
All committee members agreed that we need to ask for volunteers on the committee at the AGM
We also agreed to shorten the minutes to action points
At the AGM, we must as a committee emphasise that the agreed communication of the committee is via email unless there is no access to a PC
6. Site Maintenance (Potholes, Guttering and Gate Locks)
Tony has filled some more potholes with the aggregate
Rota for mowing wil be required starting in April
We will need to re-seed the paths in the spring and paint the loo and shed
7. Chris Hollingworth Memorial
Slabs are laid
Soil requires turning over ready for planting
Tony to purchase some log roll edging for the planting area.
Proposed opening ceremony in Spring/Summer
Tony to fix the bench to the slabs
8. Website
All up to date
Keith to put AGM documents on there
9. Response to continuous shed emails
Committee are not going to reply to the emails.
The record of the December meeting will be sent out and this should answer many of the questions
The record of the meeting will be sent from the allotment email address
10. Conditions of Tenancy
Compost makers to remain at 1.5m so no amendments required

A rotavator has been donated by Deidre Hollingsworth
Tony to provide instruction and Liz will get them laminated
