Job Title: Festival Duty Event Manager

Accountable to: Visitor Services Manager

Job Purpose: Duty Manage Front of House and where required site activities at pop up & external venues during Brighton Festival 2017.

In conjunction with the Production Manager ensure that venues are safe to receive the public and that an excellent service is provided to our visitors.

To take the lead in emergencies that may arise, representing BD&BF.

Principal Accountabilities:

1.  Check that venue or space is safe to receive the public and that controls recommended in the risk assessment are in place. Report any faults that jeopardise the event and take action to rectify them.

2.  Where appropriate, in conjunction with the External Venues Production Manager set up the seating plan, ensuring that this corresponds with that which is on sale through the Ticket Office. Number seats if required or provide signage about price breaks.

3.  Wherever possible work to ensure that a high standard of housekeeping, presentation and cleanliness is evident in the venue ensuring the comfort of all venue users.

4.  Under the direction of the Visitor Services Manager, Head of Visitor Services, Production Manager and where relevant venue representatives, devise a strategy for effective evacuation from the premises. Ensure that staff are briefed and capable of carrying out a safe evacuation.

5.  Ensure that full and thorough provision has been made for disabled audience members including thinking about queue times, toilet access, seating, evacuation and other general access issues.

6.  Be responsible for arranging carriage of FOH and Marketing equipment to and from the venue. Ensure safe storage of this equipment or safe return to the venue.

7.  Liaise with the Ticket Office to check whether they will be present on the door and if not take over responsibility for collections, guestlist, late sales etc.

8.  Ensure that signage is in place to communicate door times to the audience and that the site is kept as secure as possible before door opening, including clearing outdoor sites of members of the public if required.

9.  Pro-actively manage the work of the Volunteer, Security and Stewarding staff during events including supplying a thorough briefing, venue familiarisation, arrangements for uniform during the event, assistance with timesheets and provision for safe travel home following the event.

10. When overnight security is in place ensure you remain on site until their arrival and give a clear hand over. If required to relieve the overnight security arrive in plenty of time to do so, handover and report and issues to the HOVS and the Production Manager if necessary.

11. Where applicable, make calls for audiences to take their seats and communicate any delays or programme changes to the audience in announcements.

12. Seek clearance to open the house from the Production Manager / Company and give FOH clearance to start the show.

13. Receive and handle audience feedback during the event, resolving complaints on the day wherever possible or ensuring that comment forms or other information is returned to the Visitor Service Officer for processing.

14. Act as the First Aider at External Venues.

15. Take the lead in an emergency, co-ordinating staff, public, first aiders and emergency services, relevant contractors and contacting a BD&BF Senior Manager.

16. Leave all Festival venues as they were found, replacing seating and taking away equipment and waste where necessary.

17. Complete an event report for each day/performance and report accidents, near misses and incidents in line with BDFL company procedure.

18. Ensure that any rubbish is removed from site or put into council collection bins where applicable. Manage the upkeep of toilet facilities and bar area and liaise with the cleaning team if required.

19. Where necessary act as BDFL representative and point of contact during events for licensing authorities, the emergency services, Local Residence Associations and third parties.

20. Where required hold keys for a venue conducting the daily opening and closing procedures of the site or venue.

21. Ensure that where monies are required they are transported and stored securely during the event. Complete reconciliations of event takings, following financial procedures.

22. Promote and comply with BD&BF’s policy on equal opportunities both in delivery of services and treatment of others.

23. Any other duties as may be reasonably required.

Person Specification

Essential

·  Full availability over the month of May and availability for training and meetings during April, must be available for all weekends of the Festival

·  Significant experience working in a Front of House capacity in live events

·  Experience of working in popup, unusual and /or outdoor venues

·  Experience supervising or managing a team of staff

·  Experience working with volunteers

·  Experience dealing with access requirements at live events

·  Ability to deal confidently with all members of the public, artists and VIP’s

·  Proven ability to deliver a high level of customer service, employing excellent communication and negotiation skills

·  Cash handling proficiency

·  Excellent organisation and time management skills

·  Microsoft Word and Outlook software proficiency

·  A calm and decisive approach to problem solving and dealing with crisis

·  Self motivated and independent with an enthusiastic and flexible approach to their work

·  Experience carrying out emergency procedures involving the public

·  Willingness to work regular evenings and weekends as part of a shift pattern

Desirable

·  Experience working in Events Production

·  Experience of working with and managing site related contractors

·  A broad appreciation of most art forms

·  Understanding of H&S Regulations

·  Awareness of equalities legislation

OUTLINE TERMS AND CONDITIONS

CASUAL:

Rate of Pay: £10.62 per hour with time and a half before 8am and after 1am

Hours: Zero hour contract, full availability required in May + training and meetings in March and April

Holiday: Calculated based on hours worked

Pension: none

Notice: 1 month

FIXED TERM:

Rate of Pay: £10.62 per hour with time and a half before 8am and after 1am

Hours: 111 hours 5th -27th May with overtime paid + training and meetings in March & April

Holiday: Calculated based on hours worked

Pension: none

Notice: 1 month

FIXED TERM – Pivot:

Rate of Pay: £10.62 per hour with time and a half before 8am and after 1am

Hours: 160 hours 5th -27th May with overtime paid + training and meetings in March & April
