Relating to the selection, registration, and participation of 4-H members for State Public Presentations

v  County 4-H Educator Contact Responsibilities:

1.  Refer to the 4-H Public Presentations State Level Guidelines and Evaluator’s Guide found on the State 4-H Events Wiki at: http://nys4hevents.pbwiki.com/State-Public-Presentations for information about presentation categories and formats, important “Heads Up” Alerts, help with training evaluators for all levels, evaluation standards, and glossary of terms. The “Heads Up” Alerts page is particularly important for preparing presenters for State level participation and to assure a positive experience. Carefully read the information below.

2.  Provide the CCE 4-H State Public Presentations Event: Registration Information for Presenters and Families, which includes a hard copy of the individual presenter registration form, to each of the presenters selected to represent your county at the state event. Also include a copy of the appropriate state level evaluation form. These can be found on the State 4-H Events Wiki at: http://nys4hevents.pbwiki.com/State-Public-Presentations Be sure to also review the Registration Information for Presenters yourself.

3.  After collecting the completed hard copy of the Individual Registration Form from each presenter, enter the information on-line on the State Public Presentation webpage by August 3, 2009 (more information below).

v  Event Date(s): Saturday, August 29; Wednesday, September 3; Saturday, September 5, 2009

v  Location: 4-H Youth Building, New York State Fairgrounds, Syracuse, NY

v  Registration: The county contact (or district contact if determined) needs to complete the individual registration forms for all presenters by Monday, August 3, 2009, on-line at: http://nys4hevents.pbwiki.com/State-Public-Presentations Please include county or district contact, staff or volunteer county representative to be at the event and volunteer tasks the county representative is available to take on that day.

v  Transportation: Please encourage presenters to participate in other 4-H State Fair opportunities and plan travel together, if possible. Some presenters are transported to the event by their families. Please arrange passes and parking with families. Be sure to discuss travel, passes, and other State Fair opportunities with families before registering presenters. It is important that any permission or health forms required are taken care of by the educator if presenters will not be attending with their own family.

v  Cost to Association or Presenters: Associations will NOT be charged a registration fee this year as a result of changing the location to the State Fair. Presenters and families should plan to make their own lunch arrangements.

v  NYS 4-H Foundation Contribution: We are most appreciative of the fact that our NYS 4-H Foundation continues to support our State Event efforts by funding our NYS 4-H Public Presentation Educational Coordinator. Their continued interest in and support of this program and event is to be lauded. It is encouraged that both educators and presenters communicate their appreciation to the NYS 4-H Foundation for the part they play in making a state level event possible for our young people.

v  Event Schedule: Presenters will select day and time slot preference. Presenters will be asked to report 30 minutes before time slot and are encouraged to stay and watch other presenters in one of the two presentation areas.

v  Communication with Presenters: We ask you to select and prepare delegates to attend the NYS 4-H Public Presentations event. Encourage presenters to commit to attending the event. We will confirm participation and send information directly to participants after August 3rd regarding the schedule, directions, location, parking, etc.

v  Evaluation, Recognition and Awards: The evaluation forms that are used at the event are available on the web at http://nys4hevents.pbwiki.com/State-Public-Presentations (from the State 4-H homepage, go to Events and then Public Presentations). Please provide each presenter with a copy of the appropriate form for his or her category with their individual registration packet. At the event, a team of two evaluators will consult with the presenter following the presentation. Each evaluator fills out a form and the scores are combined for a total score. Within each presentation category presenters are grouped into scoring ranges that will determine the color of the seal on their certificate. Within each presentation category the top three scoring presenters from all three days, with gold seals on their certificates, are given medals. Following the event, scores for your county presenters will be sent to the county contact as well as the ranges of scores. County representatives and parents of presenters should be encouraged to take pictures of presenters to share in media releases in the county.

v  Help needed at the event: By completing the Individual Registration Form, please let us know if there will be educators or volunteers from your Association attending the event who are willing to assist in some way. It takes many people to run an event such as this. We will need help with set up and take down, tallying, etc. Please indicate staff or volunteer names, contact information and task preference on the on-line Registration Form.

v  State Fair Teen Leaders: This year we are requesting the help of young people who would like to serve as State Fair Teen Leaders, as emcees (formerly known as room hosts) or Event Assistants. Event Assistants will serve as hosts, runners etc. Please indicate youth who are willing to serve in this capacity on the on-line Registration form. It should be communicated that it is an honor to participate in the State Event. Teen Leaders will be recognized. We will confirm Teen Leaders selection and orientation details in the August letter to presenters.
