Dear Interested Vendor:

The Peekskill Juneteenth Heritage Committee, in cooperation with the City of Peekskill would like to extend an invitation to you to take part in Peekskill’s 7th Annual Juneteenth Celebration which will take place on Saturday, June 17, 2017 on Peekskill’s Riverfront Green. Juneteenth commemorates the date June 19, 1865, when Union soldiers arrived in Galveston with news that the Civil War had ended and slaves were free, nearly two years after President Abraham Lincoln delivered the Emancipation Proclamation. Juneteenth is a holiday that honors and celebrates African American history, achievements, culture, and struggles for freedom.

For this year’s Juneteenth Celebration, we have partnered with Westchester Community College’s Digital Arts Department to create an impactful advertising and promotional multimedia package. Additional components of our advertising strategy include the use of social media and mailing lists, Juneteenth informational articles in local newspapers, as well as display banners hung throughout the City of Peekskill. This year, we anticipate a successful Juneteenth Celebration, and believe that our outreach efforts will ensure a sizeable turnout of visitors and community members who will be able to patronize the various vendors and enjoy the artistic, educational, and entertaining performances on the stage of Peekskill’s Riverfront Green.

If you are interested in participating in Peekskill’s 2017 Juneteenth Celebration, please complete all pages of the attached Vendor Application and return it with the required fees no later than Saturday, June 3rd 2017.

Fees Paid AFTER May 20, 2017: $225 Food Vendor $125 Craft Vendor

In the memo section of the check or money order, please write, The Peekskill Juneteenth Committee

The Vendor Fee covers the following:

1. Space rental, Space Size: 10ft. X 10ft.. The committee will determine where the vendors

will be located to ensure maximum coverage for vendors and celebration attendees.

2. One (1) parking permit.

Each Vendor is responsible for the following:

1.Vendor is responsible for providing their own tables, chairs, tents and product signs.

2.Work is to be displayed attractively, tables covered to the floor, trash and packing materials out of sight.

3. Vehicles must be moved to the designated parking area by 10 a.m.

4. VEHICLES ARE NOT PERMITTED ON THE GRASS FROM 10 A.M. – 9 P.M. SATURDAY.5.Compliance with any and all state and local regulations regarding sale of product

[ i.e.: NY State sales tax number must be prominently displayed with appropriate

food or merchandise vendor licenses and permits ].

6. Vendor must have booth set up and ready for operation by 11:00 a.m. on Saturday. Vendors will

not be permitted to set up after the celebration has been opened to the public. Vendors will be

allowed one (1) space only for set up, if you require additional space you will have to fill out

another Vendor Application and pay for a second space.

Juneteenth Celebration is a Rain or Shine Event Juneteenth 20171

The Peekskill Juneteenth Heritage Committee is not responsible for any theft or damage to your vehicle or stand/equipment or merchandise. The Juneteenth Committee will make booth assignments. Juneteenth Celebration is a rain or shine event. Vendors are to be set up by 11:00 am on Saturday; failure to do so may result in forfeiture of space without refund.

Special Instructions to Food and Beverage Vendors

1.Violation of beverage vending rule intentionally or unintentionally, by owner or staff, will result in immediate closure of booth.

2.Any grease must be placed in a sealed container and taken off Juneteenth Festival premises.

Instructions to ALL Vendors

1.Vendors MUST have a confirmation letter to enter the Festival on Saturday, June 17, 2017.

2.Each vendor MUST check in at the Juneteenth Information Booth, located at entry gate, upon arrival

on Saturday, June 17, 2017.

3. Vendors are allowed to bring vehicles on site between 8:00 am and 10:00 am on Saturday, June 17, 2017

4. After unloading materials at your space, all vendors MUST park vehicles at the Juneteenth vendor

designated parking area.

5.Each Vendor’s booth must be open and ready for business by 11:00 am and remain open until 6:30 pm

unless otherwise notified by a Juneteenth representative.

General Expectations and Prohibited Items

1. No refunds will be issued unless the Juneteenth Heritage Committee was negligent in delivering

its promised services. Juneteenth will not be held responsible for any broken items, stolen items,

or the misconduct of anyone at the Park facilities.

2. No drug or alcohol products are allowed.

Check Out, Clean Up and Exit

1. Each vendor is responsible for cleaning up her/his booth area and placing trash in dumpsters.

2. The Juneteenth Committee will assess a $100.00 clean-up fee to any vendor who fails to clean

up space upon departure.

The undersigned agrees to hold harmless the City of Peekskill, and the Peekskill Juneteenth Heritage

Committee (the “Organizer”) and each of its directors, officers, officials, employees, agents, attorneys, and consultants from any all losses, claims, damages, expenses, judgments, liabilities and causes of action, including, but not limited to, claims, judgments, and liabilities on account of any act, omission, negligence, fault or default of any third party not within the control of the Organization. Upon execution of this agreement, the undersigned agrees that it shall be deemed to have released the Organization from any and all claims, causes of action, and liability to the undersigned, its representatives, successors and assigns, in connection with this Agreement or the performance of any services rendered by the undersigned or the Organization.

NON – PROFIT ORGANIZATIONS

There is no vendor fee for Non – Profit organizations to set up a table that ONLY provides information and free giveaways to Juneteenth Celebration Participants. However, the Vendor Application still must be completed and submitted by the deadline date.

1) The Permit Fee is $70 which must be paid by a money order or a
