Intern-Membership Assistant

Work percentage: 100%

Duty station: World Water Council, Headquarters (Marseilles, France)

Reporting to: Director of External Relations and Communications

Availability: 15 February 2009

Duration: 6 months

BACKGROUND

The World Water Council wishes to expand its membership base and enhance relationship with its members. It also wishes to expand its network of water-related experts in both the developed and developing world. While doing so, it wishes to offer opportunities to young professionals to gain international experience and broaden their skill sets.

RESPONSIBILITIES

Under the general supervision of the Membership Officer, the Intern – Membership Assistant will work on specifically assigned tasks related to a) Secretariat support to the External Relations and Communication unit, b) Membership Relationship, c) Contacts data operation. In doing so, he/she assist in the daily membership and communication work and develop professional knowledge and skills in an international organisation. The Intern – Membership Assistant will carry out the following tasks:

1. Secretariat support to the External Relations and Communication Unit (30%)

·  Provide day to day logistical and administrative support;

·  Prepare Membership, Communication and Media kit to be distributed;

·  Classify and archive mails and files;

·  Assist in translation of letters and web pages from English to French;

·  Type letters, web contents, PowerPoint presentations;

·  Keep up to date the Water events calendar;

·  Take notes during External Relations and Communications meeting;

·  Assist in the organization of the General Assembly, Members meetings, press conferences;

·  Assist in goods and services purchase

2. Membership Relationship (30%)

·  Maintain membership data up to date;

·  Register membership payment;

·  Register participants to the General Assembly;

·  Perform membership/communication mailing, i.e, invoice, receipt, information kit, brochure, recruitment campaign;

·  Reply to basic membership inquiries;

·  Send membership information based on model letter and e-mail to contacts met during World Water Council’s representatives missions;

·  Assist in the preparation of letter, web content and brochure;

3. Contacts database Operation (30%)

·  Maintain contact database up to date;

·  Register new contact in database;

·  Search contact information/data on the Internet;

The above job description contains the main duties and responsibilities for this position. However, in a small organization such as the World Water Council, staff members are expected to show flexibility in their approach to work and be willing to undertake other tasks and missions that are reasonably allocated to them but which are not part of their regular job description. Where any task becomes a regular part of an employee's responsibilities, the job description will be changed in consultation with the employee, the Membership Officer and the Director – External Relations and Communications.

QUALIFICATIONS

·  Enrollment in a university degree program;

·  Good understanding of English, fluency and/or other foreign languages a plus;

·  Excellent capacities in Microsoft office software in particular Word and Access, good command of Word Mailmerge, and Access queries, forms and reports ;

·  Knowledge in other software would be a plus;

·  Alert, well organized and rigorous in data operation;

·  Able to work autonomously in a multi-disciplinary and multi-cultural team;

·  Creative, enterprising, ingenious and curious while maintaining a focused mind and delivering results;

IMPORTANT NOTIFICATION

The internship will last 6 months, starting in 15 February 2009. It will take a place at the Headquarters of the World Water Council, in Marseilles, France. A monthly allowance of 398,13 Euros will be allocated. The intern must cover his/her transportation costs to Marseilles and cost of living during the internship.
