Terms & Conditions of Hire

General

The hirer shall be responsible for leaving the premises and surrounding area in a clean and tidy condition; utensils and equipment put away; lights, taps, equipment etc all turned off; the rooms they have used and where appropriate the building itself secured unless directed otherwise; and any contents temporarily removed from their usual positions properly replaced.

If the Hirer fails to meet this requirement the Village Hall Committee shall be at liberty to make an additional charge.

Our Village Hall is a community owned building, wholly run by Volunteers. Please help us to keep it in the pristine condition that you find it.

Terms & Conditions

The hirer shall not use the premises for any purpose other than that described in the Provisional Booking Confirmation; shall not sub-hire or use the premises or allow the premises to be used for any unlawful purpose or in any unlawful way; nor do anything or bring onto the premises anything which may endanger the premises. The hirer shall ensure that nothing is done on or in relation to the premises in contravention of the law relating to their acts or omissions.

The sale of alcohol is subject to special rules and permissions. In the event of someone using the Village Hall without signing or specifically agreeing to the Booking Confirmation Form, then it will be deemed that they are aware of these terms and conditions, will abide by them and will ensure that those who use the Hall in conjunction with their booking act in accordance with them.

Safety

As a user it is important that YOU recognise that you have a responsibility for the health and safety of yourself and others using the Hall. Those booking the Hall must ensure that there is a clearly responsible person present at all events; and that any children (under 18) are properly supervised by an adult.

Access to the Hall/time periods of hire

Hire periods must be long enough to allow for any setting up of and putting away/dismantling any furniture/equipment. Hire period of an hour or more are allowed 15 minutes before and 15minutes after to allow for setting up/arrivals and dismantling/departures. Access is controlled by Key Cards which allow entry only during the agreed hire periods.

Invoicing and payment

Invoicing and payment is by specific arrangement, shown on the Booking Confirmation Form. Payment may be required in part or in full before an event takes place as set out in the Schedule of Charges.

Audio & Projetor

Instructions for using the equipment are written on a laminated sheet on the audio box in the main hall.

Heating & Hot Water System

Our hot water and underfloor heating is driven by a ground source heat pump. The system has a slow response time and cannot be turned off. There is however an extract system which can be accessed upstairs in the attic on the east facing wall.

Cleaning Fluids and Equipment

The cleaning equipment is stored in the cupboard to the left in the ladies toilets. Including cleaning fluids, hoover, brushes, mops - buckets and cloths. Please note the green mop bucket is for use in the kitchen area. A large soft sweeping brush (used to clean the main hall) is stored in the green/store room to the left of and above the exit door. Please use the hoover to remove the dust and debris from this brush.Key to the cleaning cupboard is stored in the wall cupboard to the right of the door in the kitchen.

Access system.

We have a card operated door access. For short hires a member of staff will open the doors. For regular users or weekend hires a card will be provided. Beware; while you can never be locked in the building (all doors will open from the inside) “YOU CAN BE LOCKED OUT” Keep your key card with you at all times or unlock the doors.

To unlock the doors (foyer, main hall, kitchen and conference room) hold down the door handle on the inside while presenting your access card to the reader on the outer side you will get 4 green flashes. To lock the doors the reverse is the case. You will get 4 red flashes.
