Team Assistant Job Description
Salary: £20,800 pro rata
Terms: 1-year fixed term contract with potential to extend subject to funding

Role Specification: The Music as Therapy InternationalTeam Assistant is a part-time role (32 hours per week, 4 days). The Team Assistant will work across the whole charity team, providing support with the charity’s administration, project co-ordination, fundraising, marketing and research at both an organisational level, and in relation to specific projects. The Team Assistant will work closely with the Director, the Administrator and Compliance Officer, the UK and International Programme Manager, the Fundraiser and may also have the opportunity to work with volunteers.

Summary of Responsibilities:
1)Administration:
- Working with the Administration and Compliance Officer to support aspects of our financial administration, including undertaking tracking and logging of regular donors’ Standing Orders and Direct Debits and basic bookkeeping.
- Working with the Fundraiser and the Administration and Compliance Officer to support aspects of our fundraising administration, including maintaining and updating the donor database.
- Managing our generic email address () and responding to or signposting enquiries as appropriate.
2)Project Co-ordination (UK Programme)
a.To take on some aspects of the Interactive Music-Making Programme administration, including reproduction of learner resources, teaching materials etc. (guided by our Administration and Compliance Officer).
b.Maintaining the Interactive Music-Making website and Facebook pages, and communication with our existent network, regarding opportunities to access Interactive Music-Making training and related projects(guided by our Administration and Compliance officer).
c.Attending meetings relating to UK projects where relevant.
3)Project Co-ordination (International Programme)
- Co-ordinating all aspects of travel planning, from reimbursement of travel costs within the UK to flights and internal travel overseas. Researching and booking accommodation (guided by our UK and International Programme Manager).
- Co-ordinating all aspects of accommodation planning, including researching and booking accommodation (guided by our UK and International Programme Manager).
- Working with our UK and International Programme Manager to ensure all project co-ordination is completed within identified timeframes to support effective project delivery.
- Working with our UK and International Programme Manager and Director to assist with budgeting and financial reporting for our overseas projects
- Working with our UK and International Programme Manager to assistwith documenting and recording impact of international and UK projects.
- Attending meetings relating to international projects where relevant.

4)Fundraising: Working with the fundraiser to support 3 of our 5 strands of fundraising:-
- Regular Donors: Including thanking all donors (maintaining the personal approach which defines Music as Therapy International) and ensuring that they receive timely and informative reports; seeking to collect information about interests, preferences.
- Trusts: Including research and reporting.
- Community Fundraising:Including promoting opportunities for volunteers to undertake independent fundraising initiatives, providing material and moral support to such volunteer fundraisers, and nurturing their relationships with the charity.
5)Social Media & Website:
- To lead on our Social Media presence, sharing project and fundraising news (at least 1 post per week) and relevant external news, on Facebook and Twitter.
- To keep our main website content up to date and maintain ‘tone of voice’, particularly with respect to ensuring information about current projects and impact is accurate on our UK and International Project pages, and News postings are uptodate.
6)Other:
a.Attending and contributing constructively to team meetings, Trustee Meetings (3 per year) and undertake any other reasonable tasks that support the smooth running of the charity.
b.Participating in the charity’s employee review process.
c.Contributing to our ethos of good will and peer support with the internal team, volunteers, Advisory Panel in their different strands of work.
