I confirm that (should the proposal receive funding)

A)I will submit a written scientific report 4 weeks after the STMS (latest), both to the host institution and the STSM coordinator, containing the following information: purpose of the STSM; description of the work carried out during the STSM; description of the main results obtained; future collaboration with host institution (if applicable); foreseen publications/articles resulting or to result from the STSM (if applicable); confirmation by the host institution of the successful execution of the STSM; other comments (if any).

B)I am aware that the scholarship will be paid only upon timely receipt of this report.

C)I will present the results of the STSM in a WG meeting.

D)I agree to acknowledge funding in any publication arising from the STSM.

E)Once the starting date of an accepted STSM mission is known (e.g. travel booking), I will notify the STSM manager by email.

F)I do not consider the scholarship as employment and I will make my own arrangements for all health, social, personal security and pension matters.

G)I have the consent of acceptance of both the home and host institution.

Please read these additional notes to ensure a smooth application process:

1) Please submit a complete application package before the deadline. Incomplete applications will not be considered further.

2) Plan your STSM start and end dates carefully. ANY CHANGES TO THESE DATES AFTER YOUR APPLICATION HAS BEEN SUBMITTED/APPROVED WILL REQUIRE YOU TO RESUBMIT THE ENTIRE APPLICATION PACKAGE AND POSSIBLY CAUSE DELAYS TO YOUR STSM PROJECT START.

3) Do not forget your final scientific report (and the host approval of the report) is due within 30 days of the end date you state in your application files.Failure to meet this requirement means you will not receive any reimbursement for your STSM.

4) Before submitting your final scientific report, have your host researcher prepare a letter to indicate the report has been read and is deemed acceptable. Submit this letter as a separate file with the final scientific report to the STSM manager (before the 30 day deadline).

5) A complete STSM application package will contain 8 individual document files, named using the file name templates given above.

PLEASE KEEP IN MIND THE FOLLOWING

1) Applicants can apply only once per call.

2) The STSM must start within 4 months of the current call deadline (i.e. before the next call deadline). If you find that you cannot start the STSM on the date given in the eCOST registration, you will have to inform the STSM Manager Prof. Luca Magagnin (), that you cannot take the STSM and then, after receiving information that the granted STSM has been cancelled, re-apply. If the re-application concerns the same scientific goals i.e. is in effect the same STSM as the one that was cancelled, then your new STSM will be approved automatically. If there are changes in relation to your previous STSM, please point them out to the STSM Manager, when you apply.

3) Please be consistent with your information. Use a single e-mail address throughout your entire application package and please double-check that the email address you have given is the correct one, as all communication regarding the grant will go to that address and as the emails are sent by the automated eCOST system there is no check to see if the address is valid. If you have several names, you must choose to use only two of them, and continue to use the same two names for all business associated to your STSM.

4) You will receive a grant letter, which must be signed, scanned and returned to the STSM Manager Prof. Luca Magagnin () before you can be considered eligible to receive the grant.

5) You will have to sign an agreement to apply for an STSM grant. Please read the rules in this agreement carefully, COST is an EU programme and therefore all rules and regulations must be followed to the letter. This means that if just one requirement is not fulfilled then you lose the grant, even though you have previously been told that you will receive the grant.
