FSIS Re-design

Weekly Status – March 11February 123th,, 2004

Tasks completed this week:

·  Provided feedback and approval on content development submissions - 309296 submitted, 286 285 approved (see content approval tracker below).

·  Continued development and testing and defect fixing of the 384 310 309296 pages defined as in scope for phase I.

·  Continued development and testing of the 75 pages additional to the 309296 defined as in scope.

·  Roger Baker continued structure review and analysis of the advisory committee sections sections and the FOIA reading room sections to determine if these areas can be better organized.

·  Met with the ??

·  Continued work on the vRep tool. A total of 743 questions exist in the tool, 18 questions were approvedAccepted by content administrators, and 2 questions are in review.

·  Provided feedback and approval of extension content development submissions – 68 submitted, 33 approved (see content approval tracker below).

·  Advisory Committee pages have been added to the site map and phase II development as a result of Roger Baker’s review of this area and content is being developed.Continued adding content to the vRep tool. A total of 811 questions and 98 categories exist in the tool and 157 questions were approved.

·  Met with Lisa Picard, Keith Payne, and Natalie Illum to finalize details and gain additional information on the marketing and communications effort.

·  Dean Bramell and Maria Miranda are working on several pages related to veterinary careers. Drafts have been developed for 4 of 7 pages and the others are in progress.Completed draft of marketing and communications plan based on ideas and suggestions captured in the marketing and communications strategy session. Awaiting comments on the document before sending out to all attendees of the strategy session.

·  Initiated creation of marketing and communications materials: web promos, HTML email, and postcard based on feedback received in the marketing and communications strategy session.

·  Initiated updates to the FSIS style guide to be consistent with the latest version of the USDA web presence style guide.

·  Met with Linda Eckrich to review an HTML/ASP page creation checklist. Checklist will be used in future training sessions with field employees and web team members.

·  Barbara O’Brien and Diane Van. received refresher training on the vRep approval process.

·  Met with Dean Bramell to refine the Careers and HR Support areas of the site map. The site map is updated with changes agreed upon in the meeting. Dean, assisted by Maria Miranda, is proceeding with development of content worksheets for the new pages about veterinary careers.

·  OPAEO web staff and representatives of the FSIS e-government working group mMet with Phil Kinnison of the USDA Web Presence team to review and provide comments and changes to the USDA Web Presence migration strategy presentation. The presentation will be updated and sent to all FSIS staff present in the meeting.

·  Linda Eckrich presented a project overview and the re-designed FSIS test site to the usda.gov working group to show the progress of the effort and discuss lessons learned. She was asked to give a brief presentation at the next USDA webmasters meeting February 27.

·  Maria Miranda provided initial Spanish translation of promotional graphics and drafted content for 14 pages identified for the re-designed En Espanol section.

Tasks for next week:

·  Maria Miranda will refineprovide Spanish translation of promotional graphics and create and submit content for the re-designed En Espanol section based on comments from FSES bilingual specialists Olga Catter and Maribel Machin.

·  Bessie Berry will receive a vRep approval process refresher course on Wednesday, February 18.

·  ContinueComplete development (adding approved content) and testing and defect fixing of the 3092889610 pages defined as in scope.

·  Complete development and testing of the 75 pages additional to the 3100929688 defined as in scope.

·  Initiate development of 76 pages defined as in scope for the extension.

·  Continue to pProvide feedback and approval on content development submissions.

·  Finalize HTML/ASP page creation checklist.

·  Complete re-direct strategy document and review with Linda Eckrich.

Design marketing and communications materials: web promos, HTML email, and postcard.

Begin development of the pre-production staging environment.

Schedule time in the FSIS Computer Learning Center for trainees to complete additional exercises and apply the knowledge learned in training to HTML/ASP page creation.

Notify participants of User Acceptance Testing, to be held the week of March 22. Identify areas of the site that require the review of program area representatives.

Resolved the following vRep issues:

Tangie Allen is now performing daily rebuilds of the vRep. This has resolved
some of the difficulties encountered during the content approval process and has allowed the rate of approvals to accelerate.

Related Questions are now displaying in the web interface.

Last line of defense functionality is now working. Content should be updated by the hotline for the 3 messages that are displayed when the vRep cannot answer the user’s question.

·  Code the search results page to retrieve pages from the old and new site using indexing in IIS.

·  Complete updates of the site map with changes that arose from the content development process. Site map will indicate which pages or groups of pages will be left in the old look and feel at the time of launch.

·  Identify additional pages for development.

·  Initiate planning and scheduling of the FSIS Site Maintenance training.

·  Initiate planning and scheduling of the Marketing and Communications Strategy Session

·  Initiate creation of the re-direct strategy document.

Issues:

§  Awaiting USDA web presence approval from Kim Taylor and Eva Cuevas on the new FSIS mastheads.

§  Awaiting diagram of production environment from James Hughes.

§  Nightly backups of the dchqdev3 server were not being taken because the backup software was not installed or configured. James Hughes will install and configure the backup software on dchqdev3.

§  Need to finalize an internal FSIS final content approval process for all pages with new content on the re-designed site. This process will be followed during the User Acceptance Test the week of March 22.

·  Working with Native Minds on a daily basis to resolve bugs with the vRep tool. The following are the open issuesThe vRep tool will be offline Thursday, February 12 and Friday, February 13 due to system updates being made by Native Minds.

·  Need to finalize an internal FSIS, final content approval process for all pages with new content on the re-designed site.

·  :

o  High Priority: The vRep Reporting tool is not functioning and conversations are currently not being recorded.

o  When related questions display in the VMS testing view, the links to related questions run off the page.

o  Users with Content Admin access are not able to approve questions. Workaround: Content Admin users have been given VMS Admin access in order to approve questions.

· 

·  FSES continues to encounter periodic software glitches that are slowing the question review/approval process. I suggested to Susan that perhaps Anthony could spend a morning at Beltsville looking over shoulders and that having him on hand might increase confidence and help speed things up. What do you think?The USDA Meat & Poultry Hotline staff is responsible for adding and updating content in the vRep tool. The approval piece is not working and the Re-design team is working with Native Minds to resolve the issue. A work around has been established that allows approvers to approve content by changing their user ID settings.

·  Deadline for content development of 306 pages on Friday, December 12 was not met by FSIS content developers. Development of all pages with approved content was not complete by the end of the task order on 1/23/03. Content submissions and approvals have progressed slowly since the deadline and currently 97% of the in scope pages are approved by the Re-design team.

I didn’t actually give the page to Tom so he can’t do it til I start – better to do that as a Linda/Tom hyphen. Also, Maria says she found some already-done pages on her list. I would like to replace them with the vet pages that should be ready today, so long story short, the numbers on this tracker may need to be refined as we move forward.
