Solomon System Manager (SY) and its integrated Solomon Shared Information (SI) work in conjunction with all Solomon IV® products to save you time and improve system performance.

Time-Saving Information Management

You can set up your system in ways that increase the efficiency of looking up and reporting information. For example, common information such as addresses, sales and purchasing terms, and tax information can be shared across modules. The system automatically provides abbreviation information that you can change for states, provinces, countries, and multiple companies.

When you create your account and subaccount structure, you can use Flexkey Assignment to define segments (keys) comprising the account numbers. This gives you a powerful method of distinguishing account properties. For example, you can identify project and location information in the segments. You can also use the Flexkey Assignment for customer IDs, vendor IDs, and employee IDs, adapting the system to your business.

In addition, you can define installment schedules for invoice payments shared by Accounts Payable, Accounts Receivable, Order Management, and Purchasing.

Efficient Data Entry and Inquiry

Solomon System Manager provides several ways to improve data entry. Accelerator keys enable you to type continuously without having to use the mouse. Many fields have default values, and you can also inquire about allowable values for a field without leaving the field.

With appropriate access rights, you can create and update master records without leaving data entry screens. In addition, you can easily copy data from one screen to another and create templates that define similar documents. You can use standard Windows cut, copy, and paste actions for data entry, such as selection of single or “levels” of data fields to paste in another screen or to any other Windows-based application. This allows you, for example, to paste a Journal entry distribution or an invoice to and from Microsoft Excel or Microsoft Word.

Seamless Integration of Module Processes and Data

Solomon provides a powerful combination of integrated modules and an open architecture to help you adapt to changes in your business. In addition to data sharing among modules, a Transaction Import Utility allows you to bring transactions into the system from external files using the same business rules that are used when you enter information in by hand — helping to ensure the integrity of the information.

Data Integrity and Security Assurance

System Manager protects the integrity of your databases against software, hardware, or power failures, as well as procedures that violate internal controls. In addition, importing transactions from an external source invokes the same business rules that are applied to regular data entry. Multi-level password security gives different users access to only certain companies, screens, and even functions within screens. This protects your data from unauthorized access.

Powerful Reporting Features

Solomon System Manager includes Seagate Crystal Reports, the industry’s leading report writer. You can select, analyze, summarize, and present data in almost any way imaginable. You can perform multi-pass reporting and unlimited sorting. A wide variety of report types are available, and all reports shipped with Solomon are fully customizable.

Standard reports can also be delivered in any number of formats, including print preview to screen or printer and posting to an Internet or Intranet page, a Microsoft Exchange folder, an email recipient, and any number of formats such as Microsoft Excel or Word.

In addition to this powerful capability, standard report properties can be easily changed, including the font, the printer that the report is sent to, what data is presented (filtering), and how the report data is sorted. You can save these properties within a template for reuse, and you can build a library of templates to standardize your own custom reports with the same look and feel.

You have common information, such as terms codes, that is used throughout your business. You’d like the ability to enter it once and have it shared across your system. / With Solomon Shared Information, you can set up and maintain tables for commonly used information such as buyers, departments, countries, states, taxes, and terms. You need to define these items only once for the whole system, eliminating repetitive data entry and reducing errors.
You require the ability to define your own departmental financial reporting codes for specific reporting needs. / Solomon allows you to segment subaccount numbers, vendor IDs, employee IDs, customer IDs, inventory item IDs, and task IDs into meaningful codes. For example, you can segment subaccount numbers to indicate the sales chain, division, or department.
Stick-on notes are handy, but not a very effective way to maintain the many important details of your business. You need a way to keep notes electronically, so they won’t be lost or missed. / The Quick Notes feature lets you use special data fields to keep notes about the many details of your business within your system. Notes can be kept at the line item level for transaction entry screens. They are stored in the SQL Server database, which means that they are secured and can be subsequently included on standard reports.
You need an efficient, accurate way to import transactions from other systems into Solomon IV. / The Transaction Import Utility allows you to import transactions from other applications through data entry screens. For example, you can import current depreciation transactions from another program into the Journal Transactions screen. A validity check on imported data ensures that depreciation account numbers are valid for the data being entered.
You often need to close your sales system several days or weeks before the General Ledger is closed. / With Solomon, products can each be active in different periods at the same time. For example, Accounts Receivable is current period might be fiscal period 4, while the General Ledger’s current period is fiscal period 3.
