Rules, Qualifications, and Limitations Summary

Reservations Made By a Member

Members can make reservations for any time during the 24-hour day. Members can make multi-day reservations of up 14 days in duration. (This number of days may vary by aircraft.) Reservations more than 365 days in the future must be multi-day. Members can schedule up to 365 days in advance (may vary by aircraft).

Members are limited to 3 reservations on file. (This limit may vary by Member Level.)

Qualifications and Limitations for Members

Southwest Flying Club Scheduling Guidelines

  • Flights can be scheduled up to365 days in advance.
  • Although the system has the capability to restrict scheduling to only planes you have checked out in, we are not using that option. That is because we are not scheduling instructors in this system, and you may be scheduling with an instructor in order to build time, get training,or get a checkout.
  • Be careful not to schedule the wrong plane. The computer doesn't care which aircraft that you fly. It will let you schedule the wrong airplane. Be sure to review your request to make sure it is correct. It is easy to go back and make changes so do not wait until it is too late.
  • If your plans change, or you return from a trip early, please cancel any unused reservations that have been scheduled in order to free up the aircraft for other members

The official scheduling rules for the Southwest Flying Club are posted below. The rules about weekend use limitations are not automatically enforced by the MyFBO system. Please make sure that you comply with these rules. The MyFBO system will provide us the information to verify if anyone is abusing their scheduling rights.

Aircraft Scheduling:

  • If for any reason a member cannot use a Club aircraft as reserved, please cancel or amend the reservation as soon as possible so as to free the Club aircraft for other members. Also, please remember that traffic or some other reason may delay a member, so do not assume that a Club aircraft is available simply because the reserving member has not shown up at the reserved time.
  • Each member or “family membership” may schedule each aircraft for two weekends per year at any time in advance. If more than one pilot is active in a “family membership”, that family unit will be treated as a single membership for purposes of the above advance scheduling eligibility for weekend and vacation periods. The weekends can be scheduled consecutively so that the Club aircraft may be gone for a maximum period of two weeks. Any member who has used his advanced scheduling privileges may not schedule additional weekend use prior to the Thursday preceding the desired weekend in order that others may be afforded maximum opportunity to use that Club aircraft. Weekend scheduling may require some careful early planning, particularly from April through October when weather is usually more favorable for flying. It will require some flexibility among the members when scheduling conflicts occur.
  • During heavy use periods, situations can occur in which a member is unable to return the Club aircraft as originally scheduled. In such cases, the member should make every effort to contact the next scheduled user and work out a mutually agreeable solution to the problem. As an alternative, the member should contact a Club officer who will assist in resolving the problem. Any expense incurred in returning a Club aircraft will be responsibility of the member[s] involved.

Note: Scheduling a significant portion of a Saturday and Sunday will be considered a weekend schedule for the purpose of applying the above rules.

Southwest Flying Club Aircraft Practices

  • Each new member must have a check out in each aircraft (regardless of previous experience) by a qualified instructor.
  • Use checklists. Do not rely on your memory.
  • Never stand or sit on the aircraft surfaces.
  • Never maneuver the aircraft by depressing the tail and swinging it around.
  • ABSOLUTLEY no smoking in the aircraft or hangars is allowed.
  • Do not drink soft drinks in the aircraft. Limit drinks to bottled water that does not stain if spilled.
  • Do not use the step on the wing struts of any club aircraft, even the Cessna 172, to stand on. Use the ladder provided in the baggage compartment.
  • Never do a run up in the taxiway between hangars.
  • Be very careful taxiing in the proximity of autos and other aircraft. Never assume you have the right of way and yield right of way for the sake of safety. Avoid an incident at all costs.
  • Park autos in the hangar when you leave in the aircraft. If you have more cars than the hangar can accommodate, place the larger vehicles in the hangar and park the remaining cars in a parking lot or the grassy area beyond hangar J.
  • You’re most reliable oil dipstick reading should be the one first obtained several hours after engine shut down. On both 182’s confirm this by inserting the dip stick into the dipstick tube and then add about 3/8" to the dipstick scale. Observe the readings from previous flights to get a trend of oil consumption.
  • On pre-flight, be sure to check the tire pressures with a gauge, not just visually. We have cracked several of our wheel fairings by landing with low tire pressure. This causes the wheel to squash outward into the fairings. Correct pressures are posted on the pilot's doorframe.
  • Pour fuel sump samples into the red gas cans provided in the hangars for use in the tow motors - Do NOT pour them on the ground.
  • If you find a serious problem with an aircraft, lock the hangar with the RED LOCK and note the problem in the squawk list. If you feel the aircraft should be grounded, make that notation on the log sheet; notify the Maintenance Officer or the President if the M.O. is not available. If Rite Way Aviation is open, discuss the problem with them. They can assess the seriousness of the problem. Also, notify the next scheduled member. If you are outside DWH with a mechanical problem look for an FBO that could asses the problem and repair the aircraft to a safe return to DWH. Call the M.O. for assistance if needed.
  • If a member notes a minor problem of mechanical or avionics nature, watch for such a behavior to see if it becomes more serious or was just a one-time event.
  • Record VOR checks in the small spiral notebook provided in the glove compartment. These checks should be done within 30 days of the previous check. Also record the results in MyFBO.
  • Ensure that all electrical and avionics switches, including master switches, are off when leaving the aircraft (except the beacon switch which should be left in the "on" position)
  • After each flight clean the bugs, oil and dirt from the leading edges of the wings, wing struts, front cowling, nose and main gear fairings, elevator control unit and vertical fin and as much as you can clean the aircraft. Do not spray the cleaning solution onto the surfaces. Instead spray into the plastic pad and after removing the bugs, oil and dirt wipe off with a clean rag. Only the big areas could be sprayed directly. This will prevent residue build up on the wings from overspray and save in cleaning fluid. Be sure to shake the solution well before and during cleaning.
  • Do not leave trash in the aircraft or on the tables or floors of the hangars. Put trash in the cans. When trashcans are full please empty them into the 55gls trash containers at the end of the hangars.
  • Do not use the Club fuel credit card anywhere but at Hooks.
  • Do not allow line personnel to clean the windshield. Do that yourself with water solution by spraying a good amount of water and with gentle strokes remove the dirt first, repeat by spraying water and cleaning with a clean paper towel. Water, paper towels, and ladder are in the baggage compartment. DO NOT use PAPER RAGS on the windshields.
  • FOLLOW ALL FEDERAL AIR REGULATIONS.

SWFC Pilot Requirements for Insurance Coverage

Cessna 172
Flying Club Member who meets ALL of the following requirements:

  • Current Medical (unless pre solo student pilot)
  • Satisfies FAA flight review requirements (current biennial flight review)
  • Received check out from and WRITTEN approval of a Club CFI in the same make and model aircraft.

Cessna 182T
Flying Club Member who meets ALL of the following requirements:

  • Current Medical (unless pre solo student pilot)
  • Satisfies FAA flight review requirements (current biennial flight review)
  • Has at least the following LOGGED pilot time in the same make and model aircraft PRIOR TO ACTING AS PILOT IN COMMAND
  • 10 hours if member has less than 100 hours of total logged flight time
  • 5 hours if member has 100 hours or more of total logged flight time
  • Dual flight instruction in the insured aircraft (Club 182) from a Club CFI may be used in counting the 10 and 5 hour requirements.
  • Received check out from and WRITTEN approval of a CFI in the same make and model aircraft.

Member Guide to the Southwest Flying Club Online System
Welcome
Southwest Flying Club has made the decision to provide its services via the world wide web. The MyFBO.com Online Scheduling and Aviation Information Management System have been selected to provide the underlying systems and software. Welcome to the online system for Southwest Flying Club.
The User Interface
A tabbed user interface provides access to the many features of the Southwest Flying Club online scheduling and aviation information management system. All users have tabs for MESSAGES, MAIN MENU, and GUIDANCE.
The MESSAGES menu, which automatically opens when you log in, includes any personal messages transmitted through the online system as well as other information you are encouraged to read and review.
The MAIN MENU Reservations are created from this primary menu. Your personal information is included here as well.
The GUIDANCE menu includes contact information for Southwest Flying Club, any documents that are required reading, the rules, qualifications and limitations for online scheduling at Southwest Flying Club, a statement regarding the privacy of your personal information, and a link to this document,
In addition, many online systems include tabs for:
  • DATA. This tab appears when any of the following data is available to be shared:
  • A Member Roster
  • A Photo Gallery
  • Online Schedule details
  • Fleet maintenance information
  • TOOLS. Tools include a Distance and Time calculator, a Weight and Balance calculator (pre-programmed for Southwest Flying Club aircraft), and other tools selected by Southwest Flying Club.
  • Other tabs as selected by Southwest Flying Club.
How the Online Scheduler Works
The Online Scheduler operates by linking a Member (you) and one or more resources. (A resource can be an aircraft, an instructor, a simulator, or anything else that Southwest Flying Club rents.) All reservations include a date and time, duration, a type of reservation, and optional remarks. Times must always begin on the hour or half hour and are a multiple of one-half hour long, e.g., 0.5, 1.0, 1.5, 2.0, etc.
Your reservations, together with the reservations of others, aircraft maintenance schedules, instructor work hours, and instructor time off, are maintained in the online database and form the daily schedule for Southwest Flying Club.
Limitations on Reservations
Members making their own reservations online are limited to resources that are available for rental (including flight instructors). Some resources may not be available for scheduling by Members and will be marked with "Please Call" on the resource selection page.

Making a Reservation
Once you have been approved for scheduling, there are three ways to begin the process of making a reservation -- selecting a date, selecting resources, or by "drag and drop." All are accomplished from the MAIN MENU tab.
Check Box Scheduling
Use the line that begins with "Reserve Aircraft, Instructors" to reserve by selecting a date. You can use the pop-up calendar to make entering the date easier. Once the date has been entered or selected, push the "Go" button. You will then be asked to select specific resources (aircraft, instructors, and other resources such as simulators) that you might wish to reserve. Up to ten resources can be selected for further review. After you make your selection, push the View / Schedule" button.
Alternatively, you can use the line that begins with "Check Availability" to determine when specific resources are available. Select an aircraft (or aircraft type) and/or instructor from the drop-down boxes and pushes the "Go" button. The availability of your selected resources will be displayed for up to the next two weeks. You can then select a date that is convenient for you.
With either of these Check Box approaches, you will next see the same page -- the Selected Resource Schedule. On this page, you select the half-hour blocks of time you wish to reserve. You may reserve one aircraft and one instructor at most. Once you have selected your time blocks, enter any special remarks (these will appear on Southwest Flying Club's and your instructor's schedule), decide whether you want a confirming e-mail, and push "Submit Schedule Request." Unless you fail one of the tests above (if activated by your organization) or someone else was reserving the same resources at the same time, your reservation is now complete. The online system will then automatically display all of your reservations (see Viewing or Canceling Reservations below).
Click and Drag Scheduling
Lastly, you can use the line that begins with "Reserve by Click and Drag" to make a reservation. Click and Drag scheduling is for users expert with their computer's mouse or other pointing device. Mouse over an aircraft or instructor to see a starting time for your reservation in the calibration box. Then hold the left mouse button and drag to your desired ending time, again shown in the calibration box.
With Click and Drag scheduling, you will be able to select the number of days that you see at one time -- 2, 3, 4, 6, or 12. The online system will remember your most recent selection (up to 6 days). As you view more days at one time, greater precision in mouse movement is required.
Multi-Day Reservations
Southwest Flying Club has elected to enable multi-day scheduling for its customers. This means that you may schedule aircraft overnight. To do so, use "Click and Drag" scheduling or use "Check Availability" as instructed above but do not select a flight instructor. (Only the instructor can schedule himself/herself overnight.)
Reservation Confirmations and Reminders
If you have a valid e-mail address on file, you will receive a confirmation of your reservation via e-mail. For most users, this confirmation will also include a vCalendar attachment that can be imported to your local date book and, from there, to your PDA (Personal Digital Assistant). The vCalendar is sent in UTC (Zulu) time.For the vCalendar to work properly, the time zone, daylight savings setting, date, and time in your computer's Date / Time Properties must be set correctly.
Southwest Flying Club has also elected to send reservation reminders to you prior to your scheduled flights.
Viewing, Changing, or Canceling Reservations
On the MAIN MENU, click on the line that begins "View reservations" to view all of your future reservations. All reservations will be shown -- whether made by you or Southwest Flying Club's staff.
From the same page, you will have the options of canceling any of your reservations -- provided the cutoff time has not been reached. Check the box next to the flight you wish to cancel and push the "Cancel" button. Approval for scheduling is not required to delete a reservation.
Similarly, you can change any reservation provided the cutoff time has not been reached. Simply click the "Change" button for that reservation.
Confirmation e-mails are sent again after a reservation is changed or canceled. You can also request a complete list of your reservations by e-mail from the "View Reservations" page.
Updating Your Profile
Your personal user profile can be updated from the bottom of MAIN MENU. Click one of the links depending on the type of information you want to update.
From time to time, you may also receive a pop-up window when you log in requesting that certain profile information be updated. This pop-up will continue to occur until you have made the update. You may also be prevented from scheduling until your profile update has been completed.
Logging Out
Please use the "Log Out" link in the header when you have finished using the online scheduling and aviation information management system. Logging out returns you to Southwest Flying Club's main page. Logging out also allows the MyFBO.com servers to end their connection with your computer, freeing server resources for other users. If you leave your computer connected to the online scheduler but do not take any action for about 15 minutes, you may automatically be logged out.
