Chapter Planning Tool

Creating an Event

  1. Please go to and select Chapter Leader Resources.

  1. Click on Chapter Leader Resources navigation link: login with yourUsernameandPassword(this is the same information that you would usually use to login).

  1. You will notice 2 new links in the left hand navigation menu. These are the data entry links for the Program Planning Tool to create and manage each chapter event that you are planning. The first link is: Create a Chapter Event

Entering the Data

Fill in the fields on the events administrative page with the appropriate data. The General Event Details section holds the main content that users will see. Default values are provided in this section, per HFMA’s request. When entering information in the planning tool you want to reflect events pertaining to the current DCMS planning year, i.e. May 1, 2007 – April 30, 2008.

Note: Data fields designated with an (*) asterisk are required fields that need to be populated with information. If you wish to publish your event to the education area of the HFMA website,use the default navigation titles provided to enter additional details for the event. Only those fields where you input information will appear on the website when you choose Post to Public.

If you need to include more information there are two fields (Navigation Titles 9 & 10) at the end of the template where you can provide new navigation titles and information. Selecting the relevant event topics in the General Event Detail section will allow your events to be displayed in search engine results.

In order to be post your event to the HFMA website you must select “post to public” from the drop downmenu within the Web Posting Details section of the template.

You can review the information you have entered prior to hitting submit for approval.Click the button to get an idea of what it will look like on the web.

  1. Multi-chapter Events:If you are co-sponsoring an event with other chapters hold down the control key and highlight your selections. To deselect a chapter select the chapter name while holding down the control key.Note: For multi-chapter events, each chapter must enter the required details, including estimated attendance, but only one chapter should enter the details that you wish to publish.
  1. Co-sponsored Events: Leave this field blank if you are not cosponsoring an event with an outside(non-HFMA) organization.
  1. When you click it will show you a sample of how the data will appear once you submit theEvent. Make sure that your pop-up blocker is off at this point so that you can see your data. Note if you did not input details you will not be able to preview it. To approve the event click .

Manage Chapter Events

  1. To edit the event after it is approved or to report actual attendance once the event is over,go into the Manage Chapter Eventsarea and select the meeting you wish to edit.Note: You may edit data with the exception of “estimated numbers” and you will not be able to delete an event. Notify irectly to delete an event or if you want to change estimates.
  1. Once you select the meeting you want to edit, enter the actual attendance and program time, or edit information in all fields with the exception of the estimated details.Click the button at the bottom of the form to save your changes. Please e-mail your event program to when reporting educational events.
  1. Duplicating an Event: If you have the same event or a similar event that will be held during the year, you can save time by using the duplicate entry feature. Simply click on and update any information necessary.

Search for an Event

  1. To search for an event that you have entered, select the Education & Events navigation link on the left side of the web page. This brings you to the event search page.
  1. Select your search criteria andclick the Search button to view the results.
  1. Click on the title of the event to view the details.
