Suggested ITT Questions

The following is a list of proposed questions you may consider including in your tender, the list is far from exhaustive and you may wish include ones of your own that are more specific to the goods or services you want to purchase.

All questions should aim to draw out responses from a bidder on elements that are key to your requirement, they will fall into three distinct areas, Pass/Fail, For information only or will be scored, scored questions may carry a weighting to reflect the importance of the question if relation to the delivery of the requirement.

Goods / How will you ensure the quality of the end product meets the University’s requirement
Generic / What skills and experience can you/your organisation bring to this project?
Generic / What range of considerations and factors did you take into account when designing XXXXXXX
Goods / What considerations did you make when choosing the range of materials and finishes in your proposal
Generic / Please give details of the suppliers and sub-contractors that you would intend to use (if applicable) to fulfil this type of requirement, as well as the contractual arrangements you have in place to ensure continuity of supply during the project (e.g. catering).
Service - IT / What is the backup policy; how regularly are backups made, what is the restoration process and where are the backups located?
Service - IT / What disaster recovery provision has been made to protect data?
Goods or Service – IT (possibly supporting software for machinery) / Managing system changes and upgrades, such as new functionality; how will the University be notified of changes
Service - Lease / How does data get transferred back to the institution when the contract is terminated?
Service / In which countries is data stored and is it adequately protected in line with data protection principles?
Service - Lease / What provisos are made to ensure data is returned and subsequently deleted from hosted systems in the event of contract termination?
General / What quality control systems do you use?
Goods – Service, courier for instance / What is your on-time delivery record? (Points could be awarded based upon a range i.e. 5 points for 95-100% on time delivery)
Goods / What are the specific costs associated with the provision of technical support, e.g. an annual cost or renewable subscription, a charge per PC being supported, charges based on the number of users, etc.?
Goods / Is the technical support supplier prepared to make on-site visits to address and rectify technical issues with your systems? If so, are there charges associated with such services (please state in pounds sterling, if applicable)?
Generic / What procedures are in place to escalate support calls to ensure that they progress towards a solution?
Goods / What are the power consumption rates for the equipment (energy rating)?
Goods / How much does the equipment weigh?
Goods / What are the dimensions of the equipment (state unit of measurement)?

Service / What management structures will you have in place to ensure the service meets contractual requirements?
Service / What monitoring processes will you have in place to ensure work is carried out to satisfactory levels?

Service / How will you monitor actual hours worked against those claimed?
Service / What staffing levels will be available for the completion of this contract (express as whole time equivalent)?
