SUBJECT: Draft of Script for a Document

DATE: September 23, 2013

I am interested in volunteering for the Triangle AMA (American Marketing Association), and now that my employer WRAL.com is close to securing a sponsorship or membership with the organization, I need to reach out the VP of Communications Shelley Vigneau about my personl interest in volunteering in handling some of Triangle AMA’s social media, writing, editing and blogging.

Although the organization’s website provides a form for volunteers to fill, I want to reach out to Shelley directly and explain why she should let me provide communications services for the Triangle AMA. The experience would benefit me by allowing me to network with more marketing decision makers in the Raleigh-Durham area, which could lead to a new job position or more knowledge of the industry in general. Volunteering as a Communications Chair would also look great on my resume when I apply for marketing and communications positions after graduation.

My contact at the Triangle AMA Evan Sanchez, who is the VP of Sponsorships, has provided Shelley’s email address and phone number. My ideal plan would be to meet Shelley in person at one of the networking event (one of which is this week’s Thursday), however given the time requirement for this class I will call her instead and follow up with an email.

Following is the script for the “elevator speech” for the phone call:

“Hi Shelley, my name is Hanna Gnann and I got your number from Evan Sanchez at the Triangle AMA. How are you doing? (Wait for an answer) Do you have a few minutes to talk or should I call back at a better time?

(This is a good time) The reason Evan wanted to put me in touch with you is because I work for WRAL.com and we are going to be new members of the Triangle AMA. I mentioned to him that I would be interested in volunteering, and he said you could possibly use some help in communications. I’ve been helping hundreds of local businesses deliver marketing communications to their target audience here in the Raleigh area over the past eight years, and would love use my skills to help Triangle AMA. If you need someone to help write social media or blog posts, I’m Hoot Suite certified and also working on a master’s degree in Technical and Professional Communication. Do you think you need a volunteer this year?”

I will follow up with an email that will summarize who I am, what I do currently, and how I can help the Triangle AMA through volunteering.
