Subject: Adaptive Grants Reporting

Grants Accounting has collaborated with the Budget Office, the Office of Information Technology, and a select group of your peers to develop a new reporting tool to provide thegrants community with a cleaner and more comprehensive reporting experience. This new reporting is generated using the Adaptive application which you may be familiar with as it is also used for budgeting. Your peers participated in requirements gathering, prototype viewing, and user acceptance testing. The result of their participation and feedback is Adaptive Grants Reporting. An Adaptive Grants Reporting Guide has been created as a user friendly PowerPoint presentation which is readily accessible in the grants reporting folder in Adaptive. It can also be accessed by copying and pasting the following link in your web browser:

Adaptive Grants Reporting uses financial data from PeopleSoft and detailed personnel data from Workday. Adaptiveprovidesdetails that are not available in the Queries or Report 06 and are accessible with less effort. The greatest difference is the visibility to payroll details for transactions beginning July 1, 2016 - the launch of Workday. On or after this date you will see the employee name associated with each transaction. If you wish to summarize the transactions by employee you will need to export the transaction details to excel and either sort and sum the data or apply filters. You should note that transactions prior to July 1, 2016 will not have the employee name associated with the transaction as this data was not imported from HRS. To obtain this historical information you will need to call your grant accountant or access earlier reports.

The chart below summarizes the reporting tool differences.

As can be seen in the chart above Adaptive has more capabilities as a reporting tool. For this reason and to avoid any confusion over data accuracy we will be discontinuing Report 06 immediately and the Queries at the end of business on June 30, 2017 to allow time for those who find value in these tools to successfully transition to Adaptive.

Adaptive will be updated each Tuesday morning to reflect PeopleSoft data through the previous Friday. It should be noted that the data in Adaptive will lag the data in PeopleSoft by up to one week depending upon the day that data is compared between uploads. Once the PeopleSoftdata upload is on a regular and consistent weekly schedule work will begin to increase the frequency of the data integration. Adaptive will be updated with payroll details from Workday bi-weekly with the payroll cycle.

Initial access has been granted to all Principal Investigators on record in the PeopleSoft grants module.
