Study Leave Information/Clarification

There are two aspects to study leave entitlement – study leave budget and study leave days. Both run in line with the academic year from August to July annually.

From August 2017 after top slicing for induction/MRCGP courses/Education Provider Organisations etc the annual budget available for GPST use is £180. If you join us at a different time of year i.e. February, you will be entitled to pro-rata this allowance until the nearest August. Unused money is not able to be carried forward to the next financial year.

Membership of the Somerset GP Education Trust (SGPET) entitles you to attend any of their events whilst you are in your training period.

The tables below detail how the study leave days entitlement is calculated:

Application Method

Study leave applications if in a hospital post should firstly be arranged via the rota co-ordinator through local procedures and then submitted via the Intrepid system. This is the link to the Intrepid online system that is used to apply for study leave:

You applications should form part of your PDP and be authorised by your Educational Supervisor (ST3 supervisor), and your rota organiser/practice manager etc. Normally you should be able to plan sufficiently to apply at least 6 weeks in advance of the course date.

You will receive an email confirming whether your application has been approved/declined.

All applications for related expenses should be added when using Intrepid to apply for the leave (there is a section for this), and you will be able to tell how much budget you have available to use. Please remember to ask for expenses at the time of application.

If course related expenses have been approved you will need to go to our website www.somersetgptraining.co.uk after attending the course to download the expenses claim form. This should then be sent to Emma Stallard along with proof of attendance, evaluation etc. Emma will then process your claim in accordance with approved amounts. It is important that claims are submitted promptly after course dates. Late submissions will be refused.

It is not wise to register or pay for any course prior to obtaining approval for it. Approval and repayments are not guaranteed, and you may be putting yourself at risk of taking unauthorised leave if you do not obtain prior approval before taking the leave.

Courses To Apply For/Courses You Need Not Apply For

Apply for (not exhaustive list):

·  AKT/CSA exams

·  AKT revision time (a maximum of 3 days private study leave allowed)

·  CSA revision time (only allowable in groups of trainees, to a maximum of 3 days, no private study leave allowed)

·  Exam preparation courses

·  MRCGP courses

·  Committee meetings (Trainee GPST committee/LMC committees etc)

·  SGPET courses (when held in working hours – apart from the 3 planned inclusively in the ST3 timetable as part of normal teaching days)

·  Careers Fairs

·  Trainee Awards events

·  Clinic attendance outside of current post

·  GP Update courses/conferences

·  All other courses not specified

No need to apply for:

·  Day release VTS teaching sessions

·  Awaydays

·  Patch Tutorials

·  Days in Practice

How To Log In For On-Line Study Leave Applications

Go to https://www.intrepidv10.co.uk/HESW

To access your account you need to get a PIN and password. To access these you will need to:

1.  Click on the ‘Forgotten your PIN or Password’ tab on the left hand side

2.  In the ‘password reminder’ screen enter your email address (this must be the one you gave at the time of recruitment)

3.  Click on the tabs ‘Send PIN reminder’ and ‘send password reminder’

4.  You will then be sent automated emails with your PIN and password

5.  This email address will become your ID on the study leave system

We suggest that you change your password to something memorable and save the link to your favourites. You can change your password in the ‘my account’ area once you have logged in.

Note: all ST3s and sT1s are expected to attend the annual Trainee Awards event organised by the School of Primary Care – study leave must be applied for to attend this event.
