STUDY LEAVE EDUCATIONAL APPROVAL FORM–BBT Trainees

BBT Study leave policy notes:

The BBT curriculum details both generic and specialty specific learning outcomes and the

aim of study leave within BBT is to facilitate trainees in achieving full coverage of the BBT Curriculum AND make a successful exit to either ST2 (Paediatrics, General Practice) or CT2 (Medicine, Psychiatry).

In the first year of BBT study leave will be focused towards meeting the generic learning outcomes.

In the second year, BBT trainees should use their study leave flexibly to support meeting the learning outcomes of the BBT curriculum and their personal learning needs in relation to their exit specialty. For full details please refer to the HEKSS Study Leave Guidelines on the web site.

Study Leave Approval for BBT Trainees

In order to support BBT trainees in the pilot programme in HEKSS, and to ensure that study leave is educationally appropriate - the HEKSS BBT Programme Director (Dr Mary-Rose Shears) is required to give Educational Approval to all study leave requestsmade by BBT Trainees(except for study leave requests for attendance at the BBT Peer Learning Programme which has been given automatic educational approval).

BBT Trainees MUSTapply for educational approval of Study Leave using the attached form – this form should be completed and sent to the HEKSS BBT Programme Director at least 8 weeks in advance of the study leave date.

HEKSS BBT Peer Learning Programme – this programme is run by Dr Mary-Rose Shears, HEKSS BBT Programme Director and automatically has been giveneducational approved– all trainees are expected to attend these sessions.

Trainees DO NOT need to apply for educational approval to attend the Peer Learning Programme, however, Trust service/study leave approval MUSTbe given by the Trust in advance (as step two, the trainee should complete the Trust study leave form for full study leave approval).

Study Leave Approval Process for BBT Trainees

Step 1 –HEKSS BBT Programme Educational Approval

The BBT PD will need to give educational approval for all study leave requests (except for attendance at the BBT Peer Learning Programme).The trainee will email the Study Leave Educational Approval form to . The trainee will usually receive a signed copy of the form back via email within 5 days, when the BBT PD has given Educational Approval. Trainees will be contacted direct if Educational Approval is not given.

Step 2–Trust Service & Study Leave approval

The Trainee will need to follow the Trust study leave application process and complete the Trust study leave form (normally 6 weeks in advance) for all study leave requests including for study leave to attend the BBT Peer Learning Programme. The Trainee will need to obtain signed approval from the Clinical Supervisor of the post at the time that the study leave will be taken (if in General Practice please ensure the practice manager is notified), service/rota cover and study leave approval by the MEM/DME. A copy of the HEKSS BBT Educational Approval for Study Leave form must be attached when applying to the Trust for study leave.

The Trust will maintain the study leave record and confirm in writing to the Trainee when Study Leave Approval has been given.No study leave should be taken by the trainee until this approval has been confirmed.

Reimbursement of Study Leave Expenses for BBT Trainees

BBT trainees will be able to request reimbursement of study leave expenses from their BBT Study Leave allowance in accordance with the HEKSS Study Leave Guidance and Trust processes. The study leave allowance budget will be held by the Trainees Employing Acute Trust, via the Medical Education Manager.
