PTO Meeting Minutes

February 6, 2017

Principal

  • Spring Book Fair is being planned
  • Staff Professional Development day happening 2/21
  • Teacher Grants are coming in
  • One Author/One School underway

President:

  • Online Directory- Directory Spot has granted PVE access to use their online directory service free of charge through August 2017. The school directory information has been uploaded to the site and we can begin testing out the software. This can also be distributed to staff and families to get feedback from them as well. Directory Spot is trying to secure the accounts of all of the ZCS schools so that we are all using the same provider. Currently ZMS is using My School Anywhere but they are open to learning more about Directory Spot and entertaining a bid for their account. Boone Meadow and Stonegate both use Directory Spot and are very happy with them.
  • Trees for the Playground- We are working with Altums to secure two trees for the upper playground that were granted to 4th grade studentsin Mrs. Carney's classin spring of 2015 but were never delivered.While any plan is subject to ZCS approval, weare hopeful these trees will be installed this spring.
  • Jog A Thon- We still have not found permanent volunteers to cover this.
  • Accounting- We have recently learned that the PVE PTO has not adhered to the same accounting guidelines as the other ZCS PTOs. We are in the process of making adjustments regarding how purchases are made and, more importantly, ensuring that all PTO expenditures for equipment and services at PVE are recognized and accepted by the ZCS Board of Directors.
  • PTO Board Members for 2017-18- Effective this month we are accepting nominations for the 2017-18 Board. If you are a current board member and wish to continue in your position, please send me an email confirming this and you will be nominatedand put on theballot. Anyone interested in being on the board next year, please contact us.
  • Crisis Fund – currently the PTO is the handler of the school crisis fund; it has been suggested to move that out of the PTO accounts and have a different 3rd party handler.

Secretary:

  • January minutes were approved

Treasurer:

  • Cash – accounts are reconciled to the bank statements as of January 31, 2017

  • Income Statement comments on larger items in January:
  • We received $2,052 for General Mills box tops
  • We paid $1200 for field trip transporation

Communications:

  • Nothing to report

Family Services:

  • 3rd and 4th grade movie night was a success; 95 kids attended and PTO raised ~$400; $85 was spent on popcorn; a movie night for 1st and 2nd graders is planned for 3/10.
  • Kindergarten Round-up will be April 13
  • Stem Night is May 4

Enrichment:

  • The spring grant cycle is open for teachers to submit their proposals

Fundraising:

  • Nothing to report

Student Services:

  • Kokomo Beach Dayscheduled for 2/24/17

Staff Services:

  • Staff development lunch on 2/9 and Waffle bar valentine breakfast on 2/10. A signup genius has been sent out for both events.

4th Grade Student Reports

  1. Garden Towers- growing different greens (broccoli, lettuce)
  2. Kokomo Beach Day – will announce to the school the date and plan to help with set-up and tear-down
  3. Weekly Announcements – happening once a week and focusing on big events

Laurie Wanser Report

  1. The students loved the new basketballs purchased with last year’s Jog-a-thon money.
  2. DrumFit lab is up and orientation begins this week. We are waiting on IT to install computer/internet in the next 2 weeks, so classroom teachers can use it any time for brain breaks or indoor recess with a click of the mouse
  3. Students will receive JRFH info this week, but envelopes will not go home until Wednesday or Thursday (2/15-16) next week. I promote the event to students that we do JRFH to strengthen our own hearts, and the fundraising is an option for families also wanting to raise money for the AHA. We will not have multiple weeks of distributing the incentive lanyards and animals, as it is very time consuming for our volunteers. Instead, we will collect envelopes on our JRFH day 2/24, and distribute that day. We will need some parent volunteers that morning for a few hours to help. I’ll get with Jen Gaither to get a signup out shortly. We have specials teachers covering 6 stations that the students will run through at 10 minute intervals for a JRFH hour:
  4. Heart course in lower gym
  5. DrumFit in DrumFit lab
  6. Single jump ropes in upper gym
  7. Hula hoops in upper gym
  8. Long jump ropes in LGI
  9. Climb wall and stations in adventure center
  10. Wellness Night Thursday, Feb 23 from 6-7:30pm. Come and workout with your family at any time during the evening. We may have enough staff to cover the rooms, but I’ll get the word our if I need a few parents to close any gaps. I will highlight rooms that have equipment purchased with jog-a-thon funds.
