(Students/not licensed). Not eligible for CEs.

Ambassador Responsibilities and Instructions

Being an Ambassador at the convention is the best networking and leaning experiences you can get!

Effort has been made to assign you to the workshop that is your first choice for monitoring responsibilities. There is always the possibility that this assignment may change at the last minute. Please be flexible if necessary.Ambassadors are vital to the success of the convention. Thank you so much for taking your time and energy to help LPCA! We’re counting on you to be present and to fulfill your responsibilities in a professional manner.

Your responsibilities are as follows:

Prior to arriving at the convention

  • It is required that you attend an ambassador orientation (Dates to be announced soon)
  • Email your completed agreement (page 3 of this document) no later than Friday, April 25, 2018 to .

At the Atlanta Convention site

  • Arrive at the LPCA Convention Officeat least 45 minutes before the workshop that you are monitoring is scheduled to begin.
  • Sign in and pick up your name badge.
  • (You will be asked to sign in and out each day you participate.)
  • Pick up your assigned workshop packet:
  • Packet will containconvention schedule,bio for the speaker(s), sign in sheets, evaluation forms, certificate(s) of appreciation for the speaker(s), and other monitoring instructions. (i.e., turn off cell phones; sign in for the workshop, etc.).
  • Immediately go to the location of the workshop to introduce yourself to the speaker(s) and help set up the room, if needed.Be sure to verify how to pronounce the name(s) of the speaker(s).
  • Ask if the speaker(s) needs your assistance (giving out handouts, getting water, etc).
  • If the speaker(s) needs something from the hotel (temperature adjustment, additional chairs, AV equipment repair, additional copies of handouts etc.) immediately notify Gale or Tracy. Do not directly contact hotel staff.

Your workshop monitoring responsibilities

  • Introduce the speaker(s). Tell the speaker(s) that you will introduce her/him/them and ask that they let you know when it is time to begin.
  • Position yourself near the entrance of the room so you monitor the room, ensure attendees sign in, give out handouts, evaluation forms, etc.
  • Collect the evaluation forms from attendees as they leave the room after the workshop is over. Place completed the evaluation forms in the envelope (packet) for that workshop.
  • Thank the speaker(s) and present the certificate(s) of appreciation at the conclusion of the workshop.
  • Tally Workshop Evaluationsand return them to the LPCA Convention office prior to leaving the hotel for the day. After the workshop, return to the LPCA Convention Office and tally the evaluation results using the form provided in the workshop packet. Then return all evaluation forms for the workshopback into the packet for that workshop.
  • Return unused evaluation forms to the box to be used for other workshops.

To receive complimentary attendance to workshops

After completing your Ambassador assignment, you may attend an equivalent amount of time at the Convention.

  • You must be on the Ambassador Schedule and have accumulated sufficient Ambassador credit. (Your Ambassador credit will be entered upon completion of each shift, and workshop attendance will be posted against it.)
  • In the rare instance that you encounter a workshop which is at capacity, please respect the Paying Attendees and give up your seat. Let the registration desk or LPCA Staff know more chairs are needed so all including you can be seated.
  • Each day that you are an Ambassador, sign in and sign out at the LPCA Convention Office.

Dress code

Professionalism is required.Please do not wear shorts/jeans andt-shirts when you are participating as an Ambassador.Workshops rooms are usually cold; bring a sweater, just in case.Remember, theprofessionals you meet at the convention could be your future employers.

If a last-minute emergency arises and you are unable to fulfill your duties, please notify one of the following as noted below:

AMBASSADOR AGREEMENT
