JOB DESCRIPTION
Job Title: / Administrative Officer – Examinations, Reporting and Data
Responsible to: / Assistant Headteacher responsible for examinations
Overall Purpose: / ·  To support a positive school ethos within Hextable School.
·  To be responsible for the efficient administration, organisation and smooth running of public examinations
·  To be responsible for all analysis and reporting of related data.
·  Be committed to safeguarding and promoting the welfare of children and young people.
Liasing with: / Director of Learning, Head of Faculty, Teaching Staff, Advisors, Parents, external agencies
Policy / To support schools commitment to learning and achievement ensuring accurate and informative data provision.
Responsibilities Specific to Post / These duties and responsibilities are to be carried out at all times with due regard to the principles of equal opportunity.
Examinations – this applies to all examinations internal or external
·  To be responsible for examination entries for external exams to the examination boards for all public exams, eg GCSE, AS, A Level, BTEC, IPro etc.
·  To liaise with heads of department on pupil entries, ensuring all entries are on time.
·  Wherever possible, to make arrangements for pupils at this centre to take examinations in subjects they have studied elsewhere.
·  Where feasible, to make arrangements for candidates who are not pupils at this centre, but within WHS Partnership, to take examinations.
·  To disseminate information about all exams to staff, pupils and their parents.
·  To liaise with staff, parents, pupils and to deal with complaints and queries about examinations.
·  To sort out examination papers as they arrive.
·  To be responsible for the daily running of all examinations including practicals and to inform appropriate personnel about arrangements that need to be made for furniture in examination rooms.
·  To create an invigilation timetable and ensure the Human Resources assistant is aware of requirements to ensure appropriate invigilation.
·  Create the examination timetable and provide information about the examination timetable, e.g. dates/times of examinations and the number of entrants to all appropriate personnel.
·  To sort out all clashes and make appropriate provisions for pupils.
·  To brief pupils on examination procedures and conduct, and to produce guidelines for staff and pupils.
·  To liaise with examination support team to ensure all dispensation needs are met and appropriate personnel informed.
·  To train invigilators, readers and scribes to ensure compliance with examination regulations.
·  To provide relevant statistics on examination entry and examination results to the head, the governors, the LEA and the DfES, etc, including an annual report to the governors.
·  Ensure accurate data regarding examinations courses for annual census return.
·  To be responsible for examination stationery.
·  To check DfES statistics and examination results information before publication.
·  To complete examination entries using IT wherever possible and ensuring manual back up as appropriate.
·  To manage the copying and distribution of results to students, staff and appropriate personnel.
·  To check certificates.
·  To retrieve costs of examination entry from absentees and arrange for re-marks, reports and queries about exam results from the examination board.
·  To be present on the day the centre is notified of results, or arrange for a suitable, well-briefed substitute who is capable of producing the relevant statistics and can make arrangements for distributing results. (The substitute must be acceptable to the head).
·  To undertake an analysis of examination results, when the centre is notified, and to inform the head as soon as administratively possible.
·  To produce data from Assessment manager to formulate reports in accordance with the Reporting Calendar.
·  To work alongside Assistant Headteacher responsible for Data to ensure accurate information distributed to students, parents, Heads of Faculty.
·  To support and assist in general administration duties as and when requested.
·  To be responsible for accurate management of Course Manager.
·  To maintain and assist in development of school timetable and options.
·  To carry out any other duties as reasonably requested by the Headteacher or nominated representative.
Staff Development / ·  To participate in performance management.
·  To participate in continuing professional development in and out of school in order to enhance the role and effectiveness of administrative team.
·  To be part of the school team.
·  To carry out other duties as designated by the Headteacher or an appointed officer.
