Old Business:

1)Campus Community Update–Chelsea

  • No residency handbook update
  • Social security Card collection pending acceptance by other user groups
  • Tom will look at delegated access inJanuary

New Business:

1)High Point Mobile Payment option

  • UND has tested and appreciated the initial view, but will not be pursuing. The payment screen jumps toTouchnetand not optimal for mobile viewing.
  • NDSU also not planning to promote it, preferring to wait for significant enhancement before bringing to the attention of students.
  • Tom will be facilitating communication with Touchnet on mobile piece. No harm in viewing functionality and measuring against potential cost.

2)1098T’s for 2016 and 2017

  • IRS is not requiring a 2017 change to payments received/cash basis.
  • CTS has the changes in Stage for testing and has provided the manual.
  • UND has started testing and recommends proceeding.
  • NDSU and WSC use payment plans, which currently keep tuition from being 1098T eligible and from showing up in Box 1. The tree node exists, but item types for payment plan charges will have to be broken out and be effective as of Jan 1, 2017. This will take time for CTS to update.
  • After discussion, it was agreed to proceed with implementation for 2017. A thorough round of testing can be done by all on Spring data, planning for March time near a Stage refresh.
  • If for some reason it is not possible to proceed and all agreed, CTS could revert back to accrual basis until the following year, allowing time for the necessary updates.
  • Not clear how to reflect prior year adjustments during year of transition (accrual or cash basis?)
  • As usual, wait to post third party payments until January after Financial Aid posts.

3)Service Indicator Setup Options- Chelsea

  • In order to avoid students from viewing holds, uncheck “Display in Self-Service” on the Service Indicator Codes tab in the setup. See inserted file: 

4)NDU_SF_0270 Past Due Holds- Ashley

  • None opposed to prompt screen to generate system email to notify students of new holds.
  • Only populate for as many codes as relevant for the institution.
  • Report can be set to run recurring nightly or weekly.
  • LRSC unsure how to avoid notifying a student that gets a hold in error, such as when the payment is applied to the wrong class with a later start date.

Other Items of Discussion:

1)NDSU raised question of whether NDUS SF CASHIER role should be able to post a corporate charge. Some surprised that no other role was involved. Ashley researched, finding that any of the following roles can post both student and corporate charges:
