STGC Teleconference Notes – 10-29-2015

  1. Review of Action Items from 9-10-2015
  • Task Force Teams Section IV Update – Target Completion Date 12-31-2015
  • Greg Report - Good progress on section IV. Has tagged some items that need to be addressed. High priority field office work has delayed some of the work on updating. Greg is keeping the spreadsheet up to date to show progress by the STGC. This is a high priority.
  • Tom Burnham and Misty have made good progress on Forestry. After OACD additional progress anticipated. Larger issues may be identified as we dig further in.
  • Bob Gillaspy has done a lot of work cleaning up and archiving. That has reduced the number of lines from 700 to 500 in the Table of Contents.
  • Lynn and Denise will meet at OACD. 798 has been made a permanent practice necessitated by the PPS. They are ready to tackle the Agronomy practices in section IV.
  • Lars – Bob, Aaron and Lars met to update the 315 specification. Working on updating forms for Prescribed Grazing. Currently on the State FTP website. Not easily found. Talking about moving them to Section III. Need to post a word version of all documents for ease of use by the field office. Will include hyperlinks.
  • Mitch – Has been in contact with his counterparts to set up a day to go through the list and begin updates. Has manually crossed out items on the list for Bob to remove. Challenge getting organized.
  • Kevin Shaw – In the field. Greg will check in with Kevin and will get back with Evelyn for his updates.
  • eFOTG Organization Update – Greg and Evelyn are working on file organization for Sections I, III and IV of the eFOTG.

Section III:

Web links for assessment tools will need to be updated.

Guidesheets have been added for the West side of OR. Denise will add the east side documents.

Tech Notes are not currently on the eFOTG. A Tech Notes folder will be added with a file for each discipline. Each technical specialist will be responsible for adding and updating their section on the eFOTG.

JAA was discussed but no decision was made on including this information in the eFOTG. The only JAA document was for FSA Compliance determinations and needs to be updated.

Table of Contents identifies an inordinate amount of duplicate entries that need to be deleted.

Section I:

Cost Data included PPS for every year since 2009.

Cost lists need to be added for all years. Cost lists with no active contracts tied to them can be archived.

All other resource data needs to be reviewed for relevance, updated, deleted or archived.

  • Completed: eFOTG Permissions – Tom has granted permissions to the eFTOG for one person on each Task Force Team.
  1. STGC Work Plan FY2016
  • Completed: Draft FY2016 Work Plan was reviewed, edited and finalized.

Priority 1 Target Dates:

12-31-2015- Task Force Teams complete initial review to delete, archive or update.

6-30-2016 - Task Force Teams update high priority standards providing quarterly updates.Update high priority Job Specifications and associated planning documents.

9-30-2016 - Task Force Teams update all other standards.

Ongoing - Incorporate technical requests from the field offices according to priority basis.

Section III - Greg and Evelyn work with STGC to update and incorporating planning information to transition from the OR Website to the eFOTG for all planning information. Target completion date 9-30-2016.

Section I Updating the Cost Data is high priority and will include adding cost lists for all years, updated scenarios. Reference materials will be updated as needed.

Priority 2 items will be addressed once Priority 1 items are completed.

Target date 9-30-2017.

  1. OACD Presentation
  • Completed: STGC reviewed the PPT presentation for OACD. Comment will be incorporated into the presentation. Mitch and Lynn will give the presentation at the DC Meeting, November 3, 2015.

Accomplishments posted to NRCS News – Evelyn will contact Tracy about posting the 2015 Accomplishments and the 2016 Work Plan to the NRCS News with a link to the “STGC - How it all works…” document. (Formally titled “Communication Strategy”

Posting of STGC Information – All information regarding function, work plan and accomplishments of the STGC will be posted on theeFOTGSection 1.

Next Teleconference- December 3, 2015, 1:00pm.

Action Items:

  1. Evelyn will contact Tracy about posting STGC 2015 accomplishmentsand the 2016 Work Plan.
  1. Task Force Teams complete initial review to delete, archive or update Section IV. Report to STGC at next teleconference 12-3-2015. Target completion date 12-31-2015.
  1. Greg will update the Section IV spreadsheet to document progress and provide it to the STGC for the Dec. 3 teleconference.
  1. Greg and Evelyn will continue working on file organization for Sections I, III and IV of the eFOTG.
  1. Evelyn will finalize the OACD presentation and provide handout for the DC meeting in Eugene.
