Setting up Your Customized Report to Deliver: Using Agents

Step 1: Navigate to the report you want to copy, enter your prompts, and click Analyze.

You will want to save your report, and all the customizations. Some examples of customizations you may want: just your majors, no UA South students, expected graduation term, etc.

To save your report:

  1. Click on the icon highlighted here—it is the “Save As” icon.

  1. Save the report in the section labled “My Folders” with a name that makes sense to you.

Step 2: Next, you can set up your ‘Agent’ to run this report for you on a weekly basis. Go to results tab and run report – Schedule.

General Tab: Allows you to select priority in a queue of jobs and to set it up based on your security or the security of who you are sending it to:

Schedule Tab – Set up when you want it to be sent to you:

Condition Tab (I don’t think you’ll need conditions but you could certainly explore if you can only have it sent if there are new values on the report – that might be helpful!)

Delivery Content Tab – the most important one! You’ll reference where you saved your analysis. Search by Content = Analysis and Browse through My Folders until you find the report you created earlier.

This is where you can select your preferred format for your data. CSV or Excel are the most common, or you might like pdf, depending on the report type (data spreadsheet versus compiled report grid). The Subject you use will be the email subject line.

IMPORTANT POLICY: For the Attachment Note, please add the following verbage: This email was generated by an Agent running in UAccess Analytics. The Agent Owner is ______. Please contact ______at ______with questions, or to be removed from this agent’s email list.

This is to let people know how to opt out of the messages the agent is sending, and how to contact you if they have questions about the report.

Recipients Tab: You can add other people to receive the report each week. Click the + button to add more recipients, and change the List to Users before entering their netid or name in the search box:

Destinations Tab: You can have the report sent to your Analytics dashboard every week but I find it better to have it emailed – I’m doing this for the reminder You’ll want to make sure your Delivery Profile is set up in Analytics. Click on your name in the top right hand corner and select My Account. Then, make sure Email is set up as your Default Device:

Then, you can just select Active Delivery Profile as your Delivery Destination.

You shouldn’t need anything on the actions tab for this report. Now, you can save the agent in the top right hand corner. Let’s do a test and ‘Run the Agent Now’ with the icon.

This will show you if you have it working without having to wait until your set delivery time! If you do not see the report in your inbox, check your junk mail folder.

Things to remember:

  • As terms roll forward, you’ll want to update the report in your folder to add the new terms and remove the old. This will keep your weekly report current.
  • Help is available from many sources. Steven Singkofer holds Analytics Office hours, where you can get help creating reports, updating dashboards, etc. This is the best path to follow to register for Analytics Office Hours: 1. Log in to UAccess Learning. 2. Click the Find Learning link. 3. Click One-on-One in the Learning Type list on the left side of the screen. 4. Expand the list of offered sessions. 5. Click the Enroll button for any session that has 1 available seat. Feel free to register for one, two, or three consecutive sessions.
