STELLENBERG FEST MART 2007

Welcome to Stellenberg Fest Mart.

The Stellenberg Fest Mart is intended for Christmas shopping, therefore we aim to offer a wide variety of goods for sale. Our Fest Mart is unique in the sense that mainly handcrafted articles are offered for sale.

  1. CONDITIONS:
  • Your goods may not be displayed or sold at other markets from 24 October 2007 until 10 November 2007 for a period longer than 2 days or within a 50km radius from us.
  • You must have sufficient supplies for the full duration of the Fest Mart (in other words, if you should participate in other markets over weekends, this may not have an influence on your supplies);
  • Exhibitors of jewelry must be present every day;
  • Only selected articles that has been approved may be exhibited, i.e. items indicated on the application form and those which were pre-selected;
  • No new product will, after selection, be accepted;
  • It will be expected of you as exhibitor to do 2 x 2 hours service during the Fest Mart. If it is impossible for you to attend, you may appoint someone else;
  • Stellenberg Dutch Reformed Church only acts as facilitator, and will not be liable for any tax to you or from you. For your participation you contribute to the general congregation fund of the Stellenberg Dutch Reformed Church.
  • The prices of articles may not be changed after the selection day or during the Fest Mart.
  1. CLOSING DATE FOR APPLICATIONS
  • Your completed form must reach the Stellenberg Fest Mart Office on or before 4 May 2007. NO late applications; faxes or emails will be accepted;

Please ensure that your application form reaches the office in time. We will confirm the receipt of your application by sms.

  1. SELECTION

The selection criteria for our Fest Mart are as follows:

  • Quality and highly-finished presentation of products will be taken into account;
  • Items should be reasonably priced;
  • Mainly original, handcrafted articles that reflects creativity.

Owing to the overwhelming interest, we receive more applications than we can accommodate. As a result of this, and also to ensure that articles of exceptional high quality are offered to shoppers, a Selection Committee is elected. The Selection Committees’ decision may differ from the previous years. The decision of the selectors is final and no correspondence will be conducted into.

  • SELECTION DAYS:Friday 18 May and Saturday 19 May 2007 (depending on the category). Please write these dates and times down as you will not be reminded again;
  • Depending on what you are going to display, you should submit examples of the goods you intend to sell to the selection panel. The priceyou intend to charge during the Fest Mart should be visible and readable on each product;
  • You will have 15 min before inspection starts to unpack. You will then have to leave the halls. Inspection starts promptly as indicated. The hall will be available on Friday from 17:30 and on Saturday from 07:00. All exhibitors with similar goods will be present at the same time. Please note that you need to arrive punctually. In the event of your goods not being displayed on time, you will be disqualified. NOexceptions;
  • If you are going to participate in more than one category, you are required to attend each specific time category;
  • ALL FOODSTUF MUST HAVE
  • An expiry date (Storing in fridge or shelf);
  • How to store your product, before and after opening;
  • List of ingredients;
  • Please bring a sealed sample for tasting with.

  • If you are unsure of your category, you may phone Hester Swanepoel during office hours (Mon – Fri between 09:00 and 12:00) at the Fest Mart Office. (021) 910 3900;
  • The attached Item List will be collected on selection day and labels will be printed accordingly for selected exhibitors. On this form, please ensure that you include the selling price which will be relevant during the Fest Mart; under no circumstances may these prices be altered (especially after selection day).
  • You will be notified on or before 15 June 2007 as to the success or failure of your application for the Stellenberg Fest Mart 2007;
  • Coffee and cool drinks will be available on selection day, so please bring along some cash.
  1. DATE
  • 24 October 2007 to 10 November 2007.
  1. VENUE
  • The Fest Mart will be held in the hall complex at the Stellenberg Dutch Reformed Church, Corner of Edelweiss Crescent and Mountain View Avenue, Stellenberg (Durbanville).

  1. BUSINESS HOURS
  • The Fest Mart will be open Mondays to Fridays from 10:00 to 20:00 and Saturdays from 10:00 to 18:00;
  • There will be a central pay-point at the exit during the Fest Mart; A point of sale program calculates all products that are scanned;
  • The public may pay by credit card, debit card, or cash.
  1. REGISTRATION
  • The registration fee for the selected exhibitors is R400.00 per table (±175cm x 75cm); For Halve a table it is R200.00
  • Moneys is payable on or before 31 July 2007;
  • Deposits are not refundable even if you cancel;
  • No late payments will be accepted and your application will be cancelled;
  1. YOUR CONTRIBUTION TOWARDS THE CONGREGATION FUND OF OUR CHURCH
  • 17.5% of all sales are relinquished to the church. You must therefore price your articles in such a way that the 17.5% is already included;
  • Exhibitors with jewelry will relinquish 12% to the church.
  • Round your selling price down to the nearest R1.
  1. UNPACKING AND CLEARING UP
  • Only selected exhibitors are invited to the official opening at 18:00 in church. Please be there for important announcements. The halls will be lock during the official opening.
  • Please wear your name badge at all times. Without it you will not be allowed.
  • The hall will be open on Tuesday, 23 October 2007 from 16:00;
  • You may unpack until 20:30. You will be responsible for unpacking and displaying your goods;
  • In cases where you as the exhibitor cannot be present, it is your responsibility to make alternative arrangements;
  • Additional supplies must be stored under your table; If additional space is required, contact the Fest Mart Office.
  • Keeping upof additional stock during the time of the market is not negotionable. If out of stock is repeatedly or is not filled up, a 5% fine will, without delay, be implemented. This fine will be on a day-by-day basis.
  • For security purposes, no exhibitor will be allowed to bring stock in during the evenings;
  • You may bring in new stock every morning, Monday to Saturday from 09:00 till 09:45;
  • All boxes that are brought in or leaving the premises will be examined. Thank you in anticipation for your co-operation in this regard. The safety and security of our exhibitors and their goods are of great importance to us, therefore we cannot make any exceptions;
  • The committee will take all possible precautions to prevent damages or losses as far as possible;
  • We assume responsibility for security from Tuesday 23 October at 20:30;
  1. OFFICIAL CLOSING
  • The Stellenberg Fest Mart ends on Saturday, 10 November 2007 at 18:00. You (or the person with whom you have arranged) must be in the church at 18:15 for the official closing and for us to hand over the cheque to the selected charity (+ 10 minutes). Nobody is allowed in the halls during the official closing.
  • After the function you may begin packing up. The hall must be cleared the same afternoon. You have time until 19:00 to pack up your goods.
  • Under no circumstances may clearing-up take place before the official closing. Nobody will be allowed in the hall during the official closing;

  1. SUPERVISION
  • The Fest Mart committee will arrange for the supervision in the hall; you are not needed at your table during the Fest Mart.
  • It will however be expected of you as exhibitor to do 2 x 2 hours service during the Fest Mart. You may appoint someone if you cannot do it yourself;
  • All assistants during the Fest Mart are reliable people who, to the best of their ability, bear your interests at heart.
  1. PAYING OF YOUR EARNINGS
  • In the interim a direct electronic payment will take place on 2 November 2007 for sales during the period 24 October up to and including 29 October 2007;
  • The final payment will be deposited directly into your bank account on or before 23 November 2007;
  • A waiting period of 5 days will however be applicable to direct deposits other than to ABSA Bank.
  1. SECURITY
  • Strict security measures will apply during the Fest Mart;
  • Stellenberg Church and the organizing committee will however not accept responsibility for any losses or damages that may be suffered during the Fest Mart.
  1. ADVERTISING
  • There will be an advertising campaign for the Fest Mart, inter alias in the local press and on the radio.
