St. Mary’s Finance Council Minutes

February 6, 2014

4 p.m. School library

In Attendance: Dick Adler (Chair), Dick Lindner, Edna Kappus, Connie Bushman, and Father Steve. Also in attendance—Sharon Street (Bookkeeper).

Minutes from the last meeting were handed out. It was moved and seconded to approve the minutes. Motion passed.

Fr. Steve announced that Dick Adler would be retiring from the Council and that the following parish members had been appointed to the Finance Council: Jenny French, Linda Susa, Ken Smith, and Sue Pakiz.

Next was the review of our current finances (see monthly statement). Mutual of America has been paid. Current balance is $3,185.44 with payroll due on the 15th. It includes a donation of $1,271.82 as a donation from the CMMA at Forward Financial Bank.

Edna, Connie, and Sharon have started working on a budget for the parish and will meet again shortly to do more fine tuning of it.

Sharon and Connie will write up a current job description for the bookkeeping position for review by the Finance Council when they have a rough draft. Currently, there is no formal description and a formal description will help clarify who is responsible for what and allow for continuity in case of job turnover. A copy of the Loyal job description and the Greenwood School system will be obtained to help draft this document.

The Council was brought up to date on the plumbing issue. The city is ok that everything is not completed yet as we are awaiting a quote from Dennis Suda. Also, some of the work will need to be done this spring or summer after the frost is gone and students have left for the summer.

The next item on the agenda was a discussion on the under payment of life insurance for a school staff member. Sharon presented all the facts she could find on the case. Edna moved and Dick L. seconded to reimbursement the staff member $2,232 that was overpaid toward her life insurance. Motion passed. This will be done in equal amounts over the next several pay periods through June. Life insurance applications have been submitted for the two remaining teachers. If accepted, the parish will be paying an additional $60 per teacher.

A question about confidentiality between parishes was brought up. At this time, no passwords will be shared and the Loyal office will be consulted as needed.

The status of the security system was reviewed next. A parishioner has approached the Finance Council and will pay $3,750 (half) if someone will pay the other half. Dick L. said that Holy Name will pay for ¼ of the cost and Home & School will be approached for the remaining ¼ of the cost. (This will be approximately $2,000 for each group.)

Sharon reported that payment has been made to Mutual of America for 403B contributions. The amount will be 1% each month from here on out. (If employees contribute, we will match up to 2%.)

It was announced that the school will be getting 12 computers through the Marshfield Clinic. These will be used for the teachers, student lab, office, and security system. Jeanine Raycher stated that there is about $3,000available for software upgrades.

It was announced that the Scrip Program is no longer giving credit to purchasers and that the pages from the notebook are being kept in the file cabinet for future reference.

The next meeting is set for Thursday, February 27, at 7 p.m. in the school library. The new Council members will be introduced at that time and given in-service on how St. Mary’s Finance Council operates.

Father Steve asked if anyone was interested in attending a meeting for the Finance Council at La Crosse. He will look up more information on this.
