Job Summary:
1) To join the clinical secretarial team in providing assistance to the development of patient care at St Luke’s Kenton Grange Hospice.
2) To provide a secretarial/administrative service for bereavement, social work, spiritual care, complementary therapies and physiotherapy.
Main Responsibilities
· To provide a comprehensive and efficient secretarial and administrative service to incorporate all duties expected within this remit.
This would include word-processing of correspondence, reports and minutes/notes of meeting, answering and dealing responsibly and appropriately with telephone calls, dealing with post, diary management etc.
· In absence of the Senior Social Worker and Bereavement Service Co-ordinator to liaise and assist in co-ordination of referrals and appointments between BSVs and Service Users, including bereaved family members.
· Provide administrative support, including Power Point slides, handouts and booklets, for BSV and internal/external training sessions and attend as required.
· To manage diary systems as required by heads of service.
· To attend meetings and take notes if required to do so and to ensure follow-up.
· To maintain filing systems that provide easily found records should a clinician require a document in the absence of the post holder or manager.
· To support managers or leaders of a service with specific projects e.g. Open Days and the organisation and facilitation of Times of Thanksgiving.
· Assist with the development and maintenance of bereavement and social work databases.
· To provide regular statistics to audit review, develop and evaluate the bereavement, social work, complementary therapy and physiotherapy services.
· To disseminate information clearly and effectively and share responsibility to update, replenish and disseminate resources relating to information regarding local and national support networks etc.
· To assist in furthering the development of new clinical services as described in part 2 of the job Summary. This will lead to further integration of our multi-disciplinary patient documentation systems.
· To prioritise and manage own workload.
· To manage room booking system and receive and welcome visitors and service users, if required to do so and to prepare and provide refreshments if necessary.
· To liaise and make arrangements with volunteers in clinical services for interviews, training and contact with service managers.
· To provide support for required documentation in service development, i.e. production of policies, protocols, procedures, training packages etc.
· To support other secretarial staff in their work and to provide cover for annual leave and sickness when required to do so.
General:
· In addition to the duties and responsibilities listed, the post-holder may be required to perform other duties, to facilitate the smooth running of the organisation.
· This job description must be seen within developing services, and will be reviewed and revised regularly to take account of changes within the services and which cannot be foreseen at the present time.
