St Dunstan’s PTA meeting 27th June 2012

2. / Treasurer’s report (YD):
Yvonne shared with us the breakdown of the agreed funding to the school which was discussed at the first meeting of the year, due to this the school have asked for a cheque for £12,424.33, YD will arrange for payment to be made.
Since last meeting we have had a few more events, the Spring Ball was again this year a massive success with 129 tickets sold and the whole event raised an amazing £3211.16, well done to the Team for arranging a brilliant evening.
There have been a few more cheques in for Swimming Contributions.
Tea Towels for Father’s day was well supported and so far there is a profit of £812.04, but extra of both designs were bought and these will be sold at the summer fair so hopefully profits for this fundraiser will be bigger.
There have been 2 tuck tables since last meeting, yr 2 and yr 5, both done well. So far tuck tables have raised £1709.57 and we still have 2 more to go before the end of the school year.
With only the summer fair to go the PTA have a fundraising surplus of £14,677.91 which is very impressive. Out of this years’ surplus we have so far agreed to pay the school the above mentioned amount of £12,424.33. This comprises £6,500 worth of mini notebooks, £3,406.48 towards swimming lessons, £1,424.85 to provide each class with a digital camera and £1,093 to cover the costs of the library software, living eggs and ParentMail licence.

3. / Upcoming Events:
The last major event of the year is the Summer Fair (8th July).
YD feels everything is going well, all stall are arranged, central stage’s programme is planned. Bottle tombola is next week (4th July), YD asked if some parents could label the bottle’s on the table in reception on the day of collection as it would be a big help if it was done prior to the big day itself. Mrs Baker couldn’t see a problem with this but will just check with Mrs Birch.
Sarah Townsend offered to take any spare books left from the fair to the church to try and sell next weekend after mass.
The summer fair team would like to borrow a few items from the school:
5 visability coats, chairs for the stalls, cone’s used at PE and the ride on’s on Reception area.
Mrs Baker advised YD to send an e-mail to Mrs Birch asking for this.
If anyone would like to help at the fair and haven’t got a designated job yet, please come and see YD in the playground.

MD was not present at the meeting but fundraiser still going ahead and parent-mail has been sent out with the details. Recycle day is on 10th July 2012.
4. / New fundraising ideas for next year/Calendar:
*Booklet for Parents to be introduced with their business details. They could pay an amount to the PTA every 6 months to advertise their business and potentially gain more clients through the school. Anna Sole has agreed to prepare/take charge of this booklet.
*Shopping event. In the school hall a Saturday afternoon around Nov time, each stall pay £10 for their stall and donate a raffle prize. We could have a café going with tea/coffee and cakes, and parents could get some christmas shopping done.
Kate Sharkey may like to arrange this, however so we don’t clash with the church’s christmas fair, MH will just check with Church if they would be alright with us running this and to make sure we don’t arrange for the same date.
*Quiz night, ST and Fiona Smithson would like to arrange another quiz, date to be set for the first meeting in Sept, but most likely end of Feb 2013.
*Movie night. Shawn Boyer has agreed to arrange another couple of movie nights for the new school year, but no agreed date’s yet.
*School Disco’s. These will now be arranged by Elaine Da’Silva, she will get a hand over from Susan by the end of the school year, but dates have so far been arranged for 16th Nov 2012 and 3rd May 2013.
*Theatre trips. Corinne Doherty has agreed to continue arranging these, there has already been several parent-mails regarding this years christmas performance at Woking Theatre, and when Corinne feels there is good offers to get as well as good potential for a fundraiser she will sent parent-mail to see if there is any interest from the parents.
*Tuck Table, Kerry Duffy will continue to organise these.
*Spring Ball, all present would like another one arranged for next May time, date to be confirmed and also to see if Patricia Reddy is up for organising another night, otherwise we need to find new organisers.
*Parent Disco, if we get started with organising a bit earlier and advertising it as the night for the parents to have a get together before Christmas it may still is a good event and good fundraiser. However we need someone to organise.
*Summer Fair. Potential date 7th July 2013, date to be confirmed and main organisers to be found.
*Christmas cards. James and Claire Dane would like to organise again. All present agreed this is a lovely fundraiser to have as they have proven very popular and the children love having their own design on cards to friends and family.
*Christmas raffle and pudding. Heather King and AS will arrange the puddings again and will just check with Heather if she is okay to do the raffle ones more.
*CD of Christmas concert. AS to find out more details and feed back at future meeting.
*Car boot. We could charge an amount from each car; however we are not sure if a licence is needed. Yvonne to find out.
*Photo’s at Christmas performance, as it has been arranged for sports day, we will see if parents are interested in this and possibly arrange for other events.
*Bike/Jumble sale. We didn’t have one this school year, money for nothing really, however needs organisers and suitable date.
*2nd hand communion clothes sale. The idea is to organise a day after school in the schools reception area, to sell ‘special occasion’ dresses and outfits. MH to draft a note to this years yr3 parent to see if they would be interested in selling their children’s communion outfits and then schedule a date in Feb/Mar 2013.
*Grand from Co-op. MH asked of the PTA would be interested in her applying for a grand from the co-op. It will have to be a specific thing for the PTA and not the school. And it will have to be something we would buy even if we didn’t get the grand, so things like a new BBQ, the shed, tea urn anything like that. As this is an ongoing thing we will have a think about when we need and ask MH to apply for it in the new school year.

5. / Replacement for PTA Secretary
Anja Smith is standing down as our PTA minute taker at the end of this year. If anyone is interested to help us with this role, please contact any of the PTA committee ASAP, thank you for your support.
