2.  Learnings from 2007 program

a.  Technical sessions
b.  Continuing education courses
c.  Discussion sessions
d.  Breakout sessions
e.  Side trip
f.  Social events
·  Agenda/Minutes – Feb. 7, 2007
-  Are there learnings from the 2007 Workshop?
–  These learnings concern times when we have workshops in foreign countries.
–  We had a total of 142 people involved in the Workshop. This is a new record for us.
–  Many thanks are due to Qatar Petroleum for helping to sponsor the event, and for
sending a large number of staff to the Workshop.
–  It is worthwhile for a person from ASME (or the Workshop Steering Committee) to
make a “site visit” early in the planning process. This is to check on rooms,
facilities, etc.
–  It was difficult to have the Continuing Education notebook copies made, and made on
time, in Qatar. They should either be made in Houston and shipped to the location,
or the process needs to start much earlier.
There was a problem with shipping the Exhibits to Qatar. Again, this process needs
to start earlier and there needs to be a person in the local area to be responsible
for receiving the shipments.
We need to have a clearer “letter of invitation” for those who need this to obtain a visa.
It should be prepared and sent from the ASME office in Houston to avoid confusion.
We need to fully understand the requirements to obtain visas and clearly communicate
this to all people who need to obtain visas to come to the “host” country.
We need to have a “host” representative “on the ground” in the “host country.”
This person needs to be available for a period of at least two months before the
Workshop.
We need to perform a sound check before the event, to avoid some of the sound
problems we had this time.
We need to make sure that one or more people from the Steering Committee can be
on site a day or so before the event to help with last minute details, set-up, etc.
A suggestion is to give a Workshop “t-shirt” to all attendees.

·  Agenda/Minutes – May 23, 2007

-  The OMNI can’t host the meeting on the week of Feb. 4 – 8.
-  The Westchase Marriott can’t host it that week either.
-  The Sofitel on the North Belt could hold the event then, but people prefer West Houston.
-  We agree, if necessary, to move the Workshop to the week of Feb. 11 – 15.

·  Agenda/Minutes – Feb. 7, 2007
-  Thoughts on a continuing education program for 2008?
-  Thoughts on potential instructors?
When we are meeting in another country, we need to be aware of their normal work
schedule. They may not be comfortable with our “normal” 8 – 5 schedule.
When we meet in another country, we need to be careful to speak slowly and clearly.
We need to take at least 30-minute breaks in the Continuing Education classes.
Our Continuing Education course material needs to be updated.
For next time, a suggestion is to have two parallel tracks.
