SPORTS AND COMMUNITY LETTINGS ASSISTANT
Hours: 8 hours per week
Post Grade: APT & C Grade 2 (£15,375 - £16,491 pro rata)
Actual Salary £3,324 - £3,566)
Responsible to: Business Manager
Purpose of job: To administer and support community and sporting bookings, ensuring visitors are given a warm welcome and are assisted, as necessary, whilst on site, during evenings, weekends and bank holidays.
To be responsible for the management of the in-house booking system, taking bookings from members of the public wanting to use the academy sport and community facilities.
General Responsibilities:
· To be committed to safeguarding and promoting the welfare of students and young people within the academy.
· To act in a loyal and professional manner and to contribute to the overall ethos/work/aims of the academy.
· To be aware of and comply with policies and procedures relating to child protection, health, safety and security, confidentiality and data protection, reporting all concerns to an appropriate person.
· Be aware of and support difference and ensure equal opportunities for all.
· To prepare reports, written or verbal, as deemed necessary by the Senior Leadership Team or the Governors.
· To attend and support appropriate meetings/courses and to undertake any training as deemed necessary, in order to keep abreast of development.
DUTIES AND RESPONSIBILITIES
1. To provide a reception service for sporting and community lettings.
2. To administer the booking system and take bookings from members of the public wanting to use sporting and community facilities.
3. To greet visitors to the academy and make them feel welcome.
4. To show visitors around the facilities and undertake any induction procedures.
5. To make sure all stakeholders complete relevant forms and have provided Insurance/DBS documentation, as needed.
6. To make sure all visitors read and are aware of the Health & Safety information. i.e., Fire and emergency evacuation procedures, First aid procedures and Emergency contact numbers.
7. To be first aid trained, keeping qualification up to date and to deal with any stakeholder that is unwell or has an accident on the academy premises.
8. To create and issue invoices and take cash payments for bookings, being responsible for the safe keeping of this, and reconciling cash with the Finance Manager on a regular basis.
9. To assist sporting and community instructors/trainers with any problems or queries they may have.
10. To promote the facilities to the community encouraging them to look round, participate in activities and make use of facilities available.
11. To make sure all sport & leisure leaflets/forms are up to date and there is always a good supply at hand.
12. To assist Facilities Management employees in ensuring rooms are ready and that relevant equipment is set-up/dismantled to support the various activities taking place.
13. To deal with any incidences with the stakeholders, using common sense and making sure that you/they are safe at all times.
14. To report any complaints to the Business Manager.
15. To support the Academy by ensuring the smooth running of community events.
16. Any other duties commensurate with the grade and falling within the scope of the post as requested by management.
GENERAL INFORMATION AND WORKING ARRANGEMENTS
Kirk Balk Academy hosts state of the art facilities including a Sports Hall, Activities Hall, Drama and Dance Studios, Full size Synthetic Turf Pitch, Football and Rugby pitches, Tennis Court, Running Track, ICT Rooms, Conference Rooms, Lecture Theatre and a whole variety of teaching/training areas. The academy is generally open to the public for lettings purposes between the hours of 5.00pm and 9.00pm weekdays, Saturdays 10.00 am to 4.00 pm and 10.00am to 2.00pm on Sundays.
Times of duty are by arrangement with the Director of Business and Operations to meet the needs of the community usage of our sports and community facilities. It is anticipated that in the main this post will involve evening shifts Monday to Friday and daytime work on weekends which will be undertaken on a rota basis, and also includes some bank holiday working.
General Duty Times will be within the times stated below:
Monday to Friday 4.00pm to 9.15pm
Saturday 10 am to 4.00 pm
Sunday 10.00 am to 2.00pm
Please note, there will be occasions when you are required to work outside these times i.e., during the daytime on week days, and therefore flexibility surrounding working hours is essential to meet the needs of the Academy.
In such circumstances, your contractual working hours will remain the same throughout the year, but the pattern of how these hours are worked will vary depending upon organisation needs, but in general you are likely to be required to work 2 x 4 hour shifts per week.
