Specifications for Software, Support and Maintenance for CCH TeamMate Audit Software

Scope of Contract

Allow the purchase of new software, support, maintenance, training and consultation of CCH TeamMate Audit software.

Maintenance / Support

Annual software maintenance fees will be bid at a percentage of the net cost for the software license for which the maintenance applies.

All new releases, new versions, software upgrades, or standard enhancements (including patches/fixes) to the maintained software at no additional cost to the State. The vendor /manufacturer must exercise reasonable efforts to deliver all new releases, new versions, software upgrades, or enhancements (including patches/fixes), support releases and/or documentation deemed necessary within thirty (30) calendar days from the date of release.

Updates, patches, corrections and enhancements will be obtained and installed by the agency via internet download.

Vendor will provide support for the current major version of software, as well as the most recent previous major releases.

Vendor will provide telephone and electronic support to investigate and correct failures of the software. Support will be available to the licensee by telephone nine (9) hours per day, five days per week during normal business hours 8:00 to 5:00 CST, (excluding State

Holidays) via the TeamMate Support Desk.

Catalog Requirements

Contractor must provide with the bid response a manufacturer’s catalog/price list for items identified in the bid lines and bid factors. The State will apply the percentage(s) bid, during the evaluation of the bid in response to this ITB and throughout the term of the contract (including renewals and extensions thereof), to t he prices contained in this then current catalog/price list of all items included in the catalog/price list and falling within the scope of the contract specifications.

Warranty

Software will have a one year warranty.

Training

The vendor will provide a daily rate for on-site training, the location and number of employees will be determined by the requesting agency and include all training materials. This rate must include all travel expenses.

Implementation Consulting

Consulting to help your department map its current methodology and best practices into TeamMate software. Assisting the State in customizing scheduling settings and preferences to accommodate the Agency’s resource, project and budget management needs. The State shall define, in writing, the actual consulting services required at the time the services are requested

Consulting services can be performed onsite or offsite at the direction of the State. In response to a written request for consulting services, the Contractor shall provide a written quote for the consulting services to the State.

The State will issue a Purchase Order (PO) to the Contractor for the consulting services if the quote is accepted. The issued PO will be the evidence of the State's acceptance of the quote and the consulting services shall not commence until the PO is issued by the State. The State's written request for consulting services and issued PO will be the sole authorization for the requested consulting services. The State will not sign contractor/ manufacturer quotes, contractor/manufacturer statements of work (SOW), or contractor/ manufacturer work orders.

Project Roll-Out Assistance

Provide step-by-step assistance through the standard implementation process. Perform regular status follow-up with agency, participate in status phone calls and assist with meeting target dates.

Report Creation

Create advanced audit report templates to automatically generate audit reports. Reports will be exported to PDF, RTF, XLS or HTML.

Full Hosting

TeamMate Suite software components and database(s) reside on vendor’s servers and the department will access these through the internet.

Lite Hosting

TeamMate databases reside on vendor’s servers and the components of the Suite software reside on the State’s PC’s.

Data Migration

Assist the State as requested in migrating older versions of TeamMate Suite into the latest version of TeamMate Suite. This service will include program installation and conversion of the State’s existing suite database. This service will be provided either on-site or remotely over the internet.

Champion Services

Ongoing administrative and configuration tasks such as adding new users, managing user roles and permissions, as well as managing terminology and categories.

Assistance in the utilization of EWP templates for standard planning, fieldwork, reporting and wrap-up procedures.

Maintenance of the organization’s TeamStores, including:

Audit programs, procedures and work paper templates.

Audit findings and recommendations, with linked risk and controls.

Examination and use of content made available by TeamMate.

Travel

The State will not pay any travel related expenses incurred for any services and/or training provided by the vendor/manufacturer during the term of the contract.
