When do we leave? Spring Break: April 2-6
We will need to arrive in Huntsville between 1:00pm and 2:00pm on Monday. Alabama is in the central time zone. It takes approximately nine hours to travel to Huntsville from Winston-Salem. We will need to start checking students in and loading the bus at 4:30am. Yes, it is early in the morning!
Where are we leaving from?
We will be leaving from the LJVM Coliseum parking lot at the main entrance off of University.
Look for the bus. Students will need to check-in with the teacher before getting on the bus.
How will we get to Huntsville?
We will be using a school approved charter bus.
What about bus stops?
We will be stopping for breakfast & lunch on the way to Alabama, along with taking stretch/restroom breaks. On our return trip we will stop for lunch & dinner as well as stretch/bathroom breaks. Your student is responsible for the cost of these meals.
How will we know when you arrive at Space Camp?
Students may not be able to call right when we get to Space Camp. The school will be informed
of our arrival so information can be posted on the school web page. You can also check Mrs. Brendle’s web page for updates and pictures of our trip.
When will we be returning?
We will be returning to the LJVM Coliseum parking lot on Friday night. Plan on being at the Coliseum at 10:00pm for our arrival.
Where do I get a combination lock?
Students will need to take the combination lock from their locker with them. Students will need to take all items, including textbooks, in their lockers home before leaving school. Locks will need to go home with students so that they may be packed for the trip. A lock fee will show up on student’s statement of fees sheet until they return it to their homebase teacher after we return from camp. The school’s lost lock fee ($4.50) will be charged if the lock is lost or not returned.
How will medicines be handled?
A teacher will be in charge of medications once students arrive to board the bus. Medications will need to be collected by the designated teacher before students get on the bus. After we arrive at Space Camp, all medications will be turned over to the nursing staff. The staff is available 24 hours each day.
ALL medications (prescription, over-the-counter, vitamins, etc.) are collected during check-in at the bus and dispensed as directed. Prescriptions must be in their original containers with labels and instructions.
***Please turn in one copy of your medication form with current information. ***
Additions can be made as we load the bus if necessary. Placing all medications in a Ziploc bag will help with transporting and returning them.
**If your child will not be taking any medications, please indicate this on the form and return it as well.**
Tips on packing
Students are encouraged to pack two extra outfits. Better to have an extra t-shirt than to be one short. Casual clothing will be fine for the activities. If it rains, students will get wet walking to the different buildings, so rain gear should be brought just in case. Be sure to bring comfortable tennis shoes. Students will be walking and engaged in activities that require closed-toed shoes. Sandals are discouraged. Flip-flops should only be worn in the shower/sleeping area.
What will the chaperones do?
Upon arrival, the chaperones will see that all students are registered and settled in. The program staff will take over at that point. Chaperones will serve as emergency contacts while the students are in the program. We will also have our meals with the students, and we will be participating/observing students during various activities. Chaperones will be available on a daily basis to touch base with students and address any concerns or questions. We will maintain a space camp website that can be found on Mrs. Scott’s school website once we get to camp.
Where will my child eat?
Breakfast, lunch, and dinner are provided while we are at the Space Camp. Snacks and soft drinks are available at various sites within the facility at the students’ expense. Do NOT send additional snack food with your child to be consumed at Camp. Snacks for the bus are permissible but will stay on the bus while we are at Camp.
Does my child need to bring money?
Your child will need money for breakfast and lunch on the way to camp and lunch and dinner on the way home. Whether or not you send extra spending money with your child is a personal decision. All meals at camp are included in the tuition. Space Camp strongly recommends that trainees bring spending money in the form of Travelers Checks or reloadable credit/debt cards, in denominations of $10.00 and $20.00. However a small amount of cash comes in handy for snacks or drinks from commercial vending machines.
How should I send my child’s food money?
You have three envelopes. Money for food to and from camp needs to be placed in the appropriate envelopes and ready to turn in upon check in Monday morning. The first is for 2 meals on the way to camp. The second is for 2 meals on the way home from camp (this one will be kept by the chaperones until Friday on the way home). The third is for spending money, this envelope will be given to your student to lock up in their locker upon arrival at camp.
Can my child bring electronic devices?
No, students will not be allowed to use these items at Camp. Items left on the bus may be stolen, broken, or damaged by extreme heat. WSFCS district, its representative, and Holiday Tours assume no liability for lost or stolen items.
Quote from Space Camp about electonics: “Please do not bring cellular phones, pagers, portable music players, handheld computer games, skateboards, roller blades, or other expensive items. U.S. Space & Rocket Center assumes no liability for lost or stolen personal items.”
Can my child bring a cell phone?
Space Camp asks that parents NOT pack cell phones and other electronic devices. Cell phones that are visible and used during camp activities or times other than appropriate call times (wake up / lights out) may be confiscated. Anyone bringing a cell phone must understand this policy and keep cell phones locked in their locker during other activities.
Can I call my child while he/she is at Camp?
No. Students are not allowed to receive personal phone calls while at Camp unless it is an emergency. Your child will have opportunities to call home during the day. Please make sure that your child knows who to call.
If you have an emergency, please call 1-800-63 SPACE. Teachers will have their phones, which you may call. Numbers will be given at a later meeting.
How much luggage may my child bring?
Students should have a carry-on bag with items that they need while they are on the bus. The busses will not be unloaded until we arrive at Space Camp. Students will not be able to access their suitcases during travel. Students are responsible for carrying and keeping up with all their luggage. One large suitcase or two smaller ones should be fine.
