Hello. Welcome to training for Release 11. In this session we talk about what’s coming in Oracle Fusion Time and Labor Cloud enhancements for Increased Time Management Efficiency.

A new Overview page, new tasks, and the inclusion of existing tasks in the Time Management work area enhance manager efficiency. For example, managers can use Overview page to quickly identify incomplete time cards or badge and time entry exceptions. Managers can use the Generate Time Entries task to quickly generate premiums for a group of workers. And, manager can use the enhanced Manage Time Cards task to quickly approve multiple time cards at one time.

New OTBI subject areas enable you to report on past time card versions and print team schedules.

Slide 6 - Enhanced Time Management Work Area

The Time Management work area contains the functional tasks that users with the Time and Labor Manager role require to complete the business goal of reporting and analyzing time. They can use the initial, Overview, page work area to view time card statuses and manage time exceptions.

They can use the tabs on the left to easily open the Overview page and the three most common tasks:

• Manage Time Cards

• Manage Time Entries

• Manage Planned Schedule

They can use the Tasks panel drawer on the right to access additional functional tasks.

The Manage Time Cards task was enhanced in release 11 to focus on time cards rather than a single worker. In previous releases, you could use this task to search for, view, and resolve time card exceptions for only one worker at a time. Now, you can do these actions for multiple people at one time.

The Manage Time Entries task is new in release 11.

A time entry is a specific range expressed either with start and stop times or as a duration in hours. It includes attribution that details the kind of work performed. Examples are 9 am to 5 pm worked on Regular work or 8 hours on Project A.

The Manage Time Events task is new in release 11.

Open the Manage Time Events page using the Tasks panel drawer.

A time event is a single In or Out time transaction reported using a time collection device, such as a web clock or badge reader, or the Generate Time Events process. Time and Labor combines pairs of In and Out time events to create time card entries.

The Time Management work area contains the common setup tasks that users with the Time and Labor Administrator role require for ongoing maintenance and to troubleshoot configuration issues. The initial work area page for users with the Time and Labor Administrators role and without the Time and Labor Manager role is the Manage Worker Time Entry Profile.

Administrators can use the tabs on the left to quickly open this page or the Manage Worker Time Processing Profile page.

They can use the Tasks panel drawer on the right to access additional common setup tasks used for ongoing maintenance, such as:

• Managing scheduler profiles and shift properties

• Managing time collection devices

• Managing rule templates, rules, and rule sets

Combining tasks into a single work area enables Time and Labor managers and administrators to accomplish business goals and streamline their work. For example, managers can use the Time Management work area to report or adjust time for all workers. Administrators can view and resolve time transfer errors and troubleshoot profile configuration issues.

Users with the Time and Labor Manager role can now generate many records for one or more workers at one time. The following slides detail the three new generate time cards, time entries, and time events tasks.

Reduce the number of missing time cards and save workers time by generating empty time cards or time cards populated using their published schedules.

Run the Generate Time Cards process immediately or scheduling onetime or recurring processes. The process creates time cards for each worker's primary assignment during the specified date range.

Save managers time, control costs better, and minimize time entry errors by generating time entries, such as premium time entries, for one or multiple workers. The Generate Time Entries process creates time entries for each worker's primary assignment during the specified date range.

When a time collection device is unavailable, you can generate a time event for the primary assignment of each affected worker, at one time.

The Mass Time Card Creation and Mass Time Entry functionality enables workers to more efficiently report time and managers to more efficiently manage, process, and transfer reported time.

Slide 21 - Mass Time Approvals

The Mass Time Approvals feature, new in release 11, streamlines the time approval process.

Time and Labor managers and time card approvers can now approve selected time cards for one or multiple workers using the new Approve button on the Manage Time Cards page. They can also use the new Edit and Approve button to review, edit, approve, and submit the selected time cards in one task.

Based on your workflow configuration, approvers can receive approval request notifications for submitted time cards. Depending on whether you enable informational notifications for the time consumers, workers can receive informational notifications for submitted and approved time cards.

The Mass Time Approvals functionality enables managers to approve all time cards for their worker groups at one time.This is useful, for example, with time cards that weren't approved at the scheduled time.

It also quickly approves the time cards and transfers the relevant time entries to Oracle Fusion Global Payroll before the payroll cutoff and Oracle Fusion Projects before project costing processing.

You can use the new subject areas for workforce management reporting business requirements:

• Use Planned Schedules Real Time to report on a team schedule for the week based on work schedule, including absences and holidays.

• Use Published Schedules Real Time to report the schedules that are published to workers.

• Use Scheduler Profiles Real Time to report on who can schedule shifts, monitor coverage, and balance workloads for workers.

• Use Historical Processed Time Cards Real Time and Historical Reported Time Cards Real Time to report on versions of reported and calculated time cards.

Use the new Time Attribute dimension to report on custom time attributes that you created in Time and Labor. The Time Attribute dimension is available on all Time and Labor subject areas.

With OTBI, Time and Labor managers gain real-time insight into time and scheduling transaction data. This enables them to better understand labor hours and costs and better ensure adherence to published schedules for optimal labor efficiency.

Here is the summary of the features I have talked about today.

The Time Management work area provides Time and Labor administrators and managers with the tasks to quickly identify issues and exceptions and then troubleshoot and resolve them. Administrators can also make configuration changes as required while managers can also quickly approve submitted time cards and plan and publish worker schedules.

The new Mass Time Card Creation and Mass Time Entry functionality enables you to quickly generate time cards, time entries, and time events for one or multiple workers, for example:

• Generate the time cards for a team and automatically populate the time entries using published worker schedules.

• Generate time entries for two hours of overtime for a team.

• Generate an 8:00 AM regular pay time event for a team because the time device that they normally use to report time was unavailable.

The new Mass Time Approvals functionality enables Time and Labor managers to approve multiple time cards at one time. They can now also edit and approve multiple time cards in a single task. You can specify whether to send informational notifications to workers, their managers, and time approvers when time reporters or time submission rules submit time cards.

New OTBI subject areas enable you to report on team schedules, including absences and holidays. You can report on published worker schedules as well as view historic reported and calculated time card data. In release 11, Time and Labor also delivers these sample reports: Time Cards by Status. Time Entry Transfer Status (Project Costing), and Time Entry Transfer Status (Payroll).
